Creating a Drill Through Report

This page applies to: Analytics Add-on module

The Drill Through option passes filter values from one report to another, allowing more detail to be shown. To use the Drill Through option, you need both a parent (Master) report and a child report.

In the example below, a parent report and a child report are created to identify those Contract Profiles that contain an uploaded contract document with a Draft status and also have an active workflow.

Step 1: Create Master Report

Create a Master Report entitled Contract Drafts to identify those Contract Profiles that have a contract document in draft form.

Analytics Report option

From the Report Browse screen, click on New Reports Types to display a menu, and select Analytics Report to display the Novatus Analytics prompt.

Entity list

Click on Company to display more options, scroll down and select Contract, and then scroll down further and select Document.

Run link

Click to display the Report Builder.

Available Fields list and Columns list box

Display the available fields by expanding an entity folder in the Available Fields list. Locate the field you want to add to the report, click on it to select it, and then drag-and-drop it into the Columns list box. In this example, the Contract Number, Agreement Type, Contract Type, and Document File Name fields were added to the report

You can also drag-and-drop fields into the Rows list box to create a Cross-Tab Report.

Document Type field and Filters panel

Click on Document Type in the Available Fields list, and drag-and-drop it into the Filters panel since we are filtering by document type (i.e., Contract Draft).

Advanced Settings link

Click to display the Configure Filters screen.

Operand list

Select In List to choose from the list of available document types that are currently stored in Novatus.

Click on the icon to display the Search Filter Values window.

  • Select the Contract Draft check box to filter the report by document types that are contract drafts. 
  • Click Submit.

Close & Apply icon

Click on the image186.png icon to close the window and configure the document type.

Analysis Style panel

Select Drill Through to link the Master Report to a child report.

Report menu

Click on Report to display a menu, and select Save to display a Save Report window.

Save Report window

Give the report a name and enter a description, and then click Save.

Step 2: Create Child Report

Create a child report entitled Contract Workflows to identify those Contract Profiles that have an active workflow.

Analytics Report option

From the Report Browse screen, click on New Reports Types to display a menu, and select Analytics Report to display the Novatus Analytics prompt.

Entity list

Click on Company to display more options, scroll down and select Contract, and then scroll down further and select Workflow. Expand the Workflow folder and click on the next level (Workflow Step) to display the lowest level (Workflow Step Activity), and click on this lowest level to select it.

  The lower you go in the hierarchy, the more information you will have to use in your report.

Run link

Click to display the Report Builder.

Available Fields list and Columns list box

Add each field to the report by clicking on the field in the Available Fields list, and dragging-and-dropping it into the Columns list box. You can also drag-and-drop fields into the Rows list box.

Workflow Step Activity Status field and Filters panel

Click on Workflow Step Activity Status in the Available Fields list, and drag-and-drop it into the Filters panel.

Click to display the Configure Filters screen.

  • Make the appropriate selections based on how you want to filter the report using workflow activity statuses. 
  • Click Submit.

Click on the image186.png icon to close the window and configure the workflow statuses.

Drill Through radio button

Select Drill Through in the Analysis Style panel.

Click on Report to display a menu, and select Save to display a Save Report window.

Save Report window

Give the report a name and enter a description, and then click Save.

Step 3: Define the Drill-Through Analysis Style

Reopen the Master Report, Contract Drafts, to establish the relationship between this report and the Contract Workflows report. When a report is reopened, the Output view displays.

Edit tab

Click to display a menu, and select Related Reports to display the Related Reports screen.

  If the Related Reports option is not listed, click on Data to display the Data view, and click inside the Drill Through radio button in the Analysis Style panel. Then, click on the Related Reports tab.

Search option

Locate the related report by typing part or all of the report name into the Search field and clicking the icon. To clear the filtered results, click on the icon.

  The reports that can be related to the current report are displayed in the left navigation pane as thumbnails. Instructions for linking the reports are displayed in the right navigation pane.

Related Reports list

Locate the related report (i.e., Contract Workflows) in the list.

Drill Through panel

Click on the report to select it, and then drag-and-drop it into the panel. When the report is selected inside the Drill Through panel, the right navigation pane refreshes and displays options for linking the reports.

  The other panels are used to display data from other reports when the Co-Display Analysis Style is used.

Set Link options

  • Hyperlink Field list - Make a selection in the list, depending on which report field you want displayed as a hyperlink. In this example, the Contract Number field will be used to launch the related Contract Workflows report. 
  • Popup New Window check box – Select if you want a window to display within the current screen, instead of displaying a new screen when the hyperlink is selected.

Where Field list

Make a selection in the list to identify the field you want to use to establish the condition(s) for the relationship between the reports. In this example, Agreement Type is selected.

Filter icon

Click on the image222.png icon to display a Filter Values window.

  • Select the check boxes for all the conditions that will be used to establish the relationship between the reports. In this example, only Individual is selected as the Agreement Type. 
  • Click Submit. Each selection appears under the Where Field list.

  To remove a selection, simply click on its image186.png icon.

Update button

Click to save your information and establish the conditions for the related report.

  Click the Delete button to remove the link between the reports.

Output tab

Click to display the Output view of the report.

Linked report record field

Locate the report records that contain a linked field.

A linked field indicate that a related report exists for this report record. In this example, a linked field indicates that a workflow exists for this Contract Profile, which also includes an uploaded document with a document type of Contract Draft.

Click on any linked field to display the related report (i.e., Contract Workflows).

Related report records

View the report records that have a Contract Profile with an active workflow, as well as an uploaded document with a document type of Contract Draft.

Contract Drafts link

Click to return to the parent (Master) report.

Export icon

Click on the icon if you want to export the report to a PDF, DOCX, XLSX, CSV, or TEXT and save it. You can also print the report. See Outputting an Analytics Report.
