KPI Time Report

This page applies to: Analytics Add-on module

A KPI Time Report plots a value over time. However, you can add a date filter to the report to plot the value instead of having to wait for the polling to render the data over time.

In the example below, the monthly payments your company made on a contract are tracked to assess whether the payments were made in a timely manner, allowing contractual discounts to be taken, and therefore, saving your company money.

Navigation Toolbar

Click on Reports to display a menu, and then select Reports to display the Report Browse screen.

New Report Types button

Click to display a menu, and then select Analytics Report to display a Novatus Analytics prompt.

Entity field list

  • Click in the field to display the Clause, Company, Project, and Request folders, and select the entity you want to report upon.
  • Click on the image108.png arrow for Company to display a second level hierarchy, scroll down and locate the Contract folder, and then click on its arrow to display a third level hierarchy.
  • Locate the Payment Stream folder, and then click on its arrow to display a fourth level hierarchy. Click on the Payment folder to select it.

Run button

Click to display the Analytics Report Builder containing the available fields for your report.

Available Fields list

Click on the icon for a category to display the fields in the category. For this example, click on the Payment folder.

Metric field (value)

Locate a metric field you want to add to the report, and then drag-and-drop it into the Report Builder to add the field to the Columns list box. For this example, click on Payment Invoice Date and drag it into the Report Builder.

  Metric fields contain the icon and are typically number and date fields. A metric (number) field is needed for a KPI Time Report.

Display icon

Hover over the right side of the column header until the image112.png icon displays, and then click on the icon to display the Column Quick menu.

Column Quick menu

Click on Format to display the Format menu. For this example, we will format the Payment Invoice Date column so that only the month displays.

Click on Edit to display the Column Formatting window.

Display field

Change the name of the field from Payment Invoice Date to Payment Month.

Format list

Change the default selection from Timestamp to Date.

Date Format list

Change the default selection from dd/MM/yyyy to Other since we are going to add a custom date format. A Custom Date Format field displays.

Custom Date Format field

Enter MMMM into the field to display only the month of the invoice.

Chart Granularity list

Change the default from Day to Month to align with the monthly data in the report in the event you want to add a chart to the report.

Close & Apply icon

Click on the image115.png icon to close the window and apply the formatting to the data in the report column.

Since there are duplicate fields, which indicates that two contracts in your database have monthly payments recorded, we must add a filter to evaluate each contract separately.

Available Fields list

Click on the icon for the Company category to display the fields in the category.

Dimension field

Locate a field that will filter the display data. For this example, locate the Company Name field.

Click on the Company Name field in the Available Fields list, and then drag-and-drop it into the Filters panel.

Click to display the Configure Filters screen.

Click on the icon to display the Search Filter Values window.

  • Select the Paradigm Shift check box since we are limiting the report to payments made on this contract.
  • Click the Submit button.

Click on the image115.png icon to close the window and apply the filter to the KPI Time Report.

Available Fields list

Click on the icon for the Payment category to display the fields in the category.

Metric field (value)

Locate the Payment Paid Amount field since this KPI Time Report is assessing the monthly amounts your company paid in accordance with the contract terms, including any discounts allowed for early payments.

Columns list box

Click on the Payment Paid Amount field in the Available Fields list, and then drag-and-drop it into the Columns list box. The monthly amounts paid display in the Report Builder.

Output tab

Click to display the Output view for the report.

KPI icon

Click on the icon to display the KPI window.

KPI Functionality icon

Click on the icon to enable the functionality and display the Metrics used to configure the KPI Report.

KPI Type list

Select Time in the list since we are running a KPI Time Report. The other options are Spot and Categorical; however, the available options depend on the fields you have added to your report.

Keyed On field

Select the metric field added to the report in Step 6 (i.e., Payment Paid Date or Payment Month). This is the field that is used to define the time series for the report.

KPI Metric list

Make a selection in the list, depending on the metric you want to use in the report. For this example, select Payment Paid Amount.

Desired Trend list

Select Down in this field since the desired trend is to decrease the amount of the monthly payment by taking advantage of discounts offered for early payment. The other options are Up and No Change.

Target Type

There are two options for defining the type of target to be used in the report:

  • Manual (default) – define the target value against which you want monthly payments to be measured (Step 34). For this example, we will define the target value.
  • Field – select the field you want to use as the target against which contract values are measured. This field could be added to the Report Builder as a simple calculation.

Target field

Enter a target value for the monthly payments. For this example, we enter 582 into the field since this is the lowest monthly payment that can be made when the highest discount is taken for early payment.

  This target value will be used as the basis for the report alerts (Step 39).

Setup category

Click the expand icon image123.png to display the setup options for the report.

Style list

Leave the Cell option selected since we will use background colors for the report cells to identify report data that meets a condition.

 See Conditional Formatting Styles and Types for a list and description of other styles.

Type list

Select Value in the list to compare the monthly payments to the conditions specified in each alert (Step 39).

You could also select one of the other options (Compare Column, Percentage of Column, Percentage of Total, or Percentage of Max). See Conditional Formatting Styles and Types for a description of other conditional formatting types.

Click the expand icon image123.png to display the options for setting up report alerts.

Condition #1

Use the fields to define the background color of a report cell in accordance with the target value of 582, which is the desired amount of the monthly payment (Step 34). The top payment, with no discounts is 600.

  • Select Less than or equal to in the Type list, and then enter 582 in the blank field. Since this is the target value, and the trend is down, the low-level condition must include this value.
  • Click on the icon to display a color palette, and select Green to associate this positive color with the Less than or equal to option. If the monthly payment is less than (or equal to) 582, the report cell with display with a green background.

Condition #2

  • Click the + Add Condition link, and then click on the icon to display a color palette. Select Yellow to associate the next condition with a neutral color since this color will reflect a range of discounted monthly payments.
  • Select Between in the second Type list. Enter 582 in the first blank field, and then enter 594 in the second blank field. If the monthly payment falls between these amounts, the report cell with display with a yellow background.

  The values in the Less than or equal to condition and the Between condition must overlap.

Condition #3

  • Click the + Add Condition link, and then click on the icon to display a color palette. Select Red to associate this negative color with the Greater than or equal to option.
  • Select Greater than or equal to in the Type list, and then enter 594 in the blank field. If the monthly payment is greater than (or equal to) 594, the report cell with display with a red background.

  The values in the Greater than or equal to condition and the Between condition must overlap.

+ Add Condition link

Click on the link if you want to add another condition.

Clear button

Click if you want to clear any conditional formatting you have added.

Refresh category

Click the expand icon image123.png to display information on refreshing the report. No selections are required since time-based KPI Reports do not require a refresh schedule.

Report Data

View the performance indicators based on discounts taken when making monthly payments in accordance with a contract.

  • Payments that were greatly minimized due to early payment are displayed with a green background (e.g., 3% discount taken).
  • Payments that were slightly minimized due to early payment are displayed with a yellow background (e.g., 1% or 2% discount taken).
  • Full payments display with a red background (no discount).

Report Legend

Review the legend for the KPI Time Report, which interprets the color-coding displayed in the report.

Report menu

Click on Report to display a menu, and select Save to display a Save Report window.

Save Report window

Give the KPI Time Report a name and enter a description, and then click Save.
