KPI Categorical Report

This page applies to: Analytics Add-on module

The KPI Categorical Report is the same as a Spot Report in that it focuses on a single metric, but it includes an additional dimension field to categorize the values in the metric field. In addition, a date field should be added so that report data can be analyzed for a specified time period.

In the example below, the total dollar value of root contracts (i.e., Master and Individual contracts) is tracked for the current calendar year and applied against a target dollar value of $3,400,000, which was the goal set by a company for new contracts written in 2016.

Navigation Toolbar

Click on Reports to display a menu, and then select Reports to display the Report Browse screen.

Click to display a menu, and then select Analytics Report to display a Novatus Analytics prompt.

Entity field list

  • Click in the field to display the Clause, Company, Project, and Request folders.
  • Click on the image108.png arrow for Company, drill down to the Contract folder, and then click on it.

Run button

Click to display the Analytics Report Builder containing the available fields for your report.

Available Fields list

Click on the icon for a category to display the fields in the category. For this example, click on the Contracts folder.

Dimension field

Locate a dimension field, which will be used to categorize the metric field, and then drag-and-drop it into the Report Builder to add the field to the Columns list box. For this example, Agreement Type is the dimension field that is used to categorize the Contract Value metric.

Filters panel

Drag-and-drop the same field (Agreement Type) in to the Filters panel. For this example, we are only concerned with root contracts (Master and Individual), so a filter needs to be applied.

Advanced Settings link

Click to display the Configure Filters screen.

Click on the icon to display the Search Filter Values window.

  • Select the Master and Individual check boxes since we are reporting on the value of only root contracts.
  • Click the Submit button.

Click on the image115.png icon to close the window and apply the filter to the KPI Categorical Report.

Metric field (value)

Locate a metric field you want to add to the report, and then drag-and-drop it into the Report Builder to add the field to the Columns list box. For this example, click on Contract Value and drag it into the Report Builder.

  Metric fields contain the icon and are typically number and date fields. A metric (number) field is needed for a KPI Categorical Report.

Display icon

Hover over the right side of the column header until the image112.png icon displays, and then click on the icon to display the Column Quick menu.

Click on Aggregation to display the Aggregation menu.

Click on Sum to select it. For this example, we are aggregating the total value of each type of root contract.

Metric field (value)

Add a duplicate metric field to the Report Builder by following Steps 12-15. For this example, the duplicate field will be renamed and used to display a visual indicator of the total contract values over a specified time period.

Hover over the right side of the column header until the image112.png icon displays, and then click on the icon to display the Column Quick menu.

Ensure the second (duplicate) field is selected since this is the field whose name we are changing.

Display field

Click in the field and type over the existing text to rename the field. For this example, the new field name is Contract Value Indicator.

Click on the image115.png icon to close the window and apply the formatting to the column.

Metric field (date)

Locate the date field you want to use as a filter for the report in the Available Fields list, click on it to select it, and then drag-and-drop it into the Filters panel. For this example, select Contract Created On since we are assessing the value of root contracts entered into over the past year.

  It is highly recommended that a date field be added to a Spot Categorical Report.

Pre-defined Period radio button

Select to use a system option to define the time period in the KPI Categorical Report.

Pre-defined period options

Select This Calendar Year to Now to display YTD values in the report. There are several other options available to pinpoint an exact day or time.

Click to display the Output view for the report.

Click on the icon to enable the functionality and display the Metrics used to configure the KPI Report.

KPI Type list

Select Categorical in the list since we are running a KPI Categorical Report. The other options are Spot and Time; however, the available options depend on the fields you have added to your report.

Keyed On field

Select the dimension field added to the report in Step 6 (i.e., Agreement Type). This is the field that breaks down the metric (i.e., Contract Value) into categories.

KPI Metric list

Make a selection in the list, depending on the metric you want to use in the report. For this example, Contract Value Indicator (duplicated field) is selected since we will display the icon in this field to avoid over-writing the value in the metric field (i.e., Contract Value).

Desired Trend list

Select Up in this field since we want to find out if there was an upward trend in value for root contracts over the past year. The other options are Down and No Change.

Target Type

There are two options for defining the type of target to be used in the report:

  • Manual (default) – define the target value against which you want contract values to be measured (Step 37). For this example, we will define the target value.
  • Field – select the field you want to use as the target against which contract values are measured. This field could be added to the Report Builder as a simple calculation.

Target field

Enter a target value for the contracts that will be included in the report. For this example, we enter 3,400,000 into the field since this is the total desired dollar amount of each type of root contract (i.e., Master and Individual) for the current year.

  This target value will be used as the basis for the report alerts (Step 43).

Setup category

Click the expand icon image123.png to display the setup options for the report.

Style list

Select Icon since we are using color-coded icons to identify report data that meets a condition.

  See Conditional Formatting Styles and Types for a list and description of other styles.

Icon Set list

Select the type of icon you want to use in your report: Traffic Lights, Arrows Up, Arrows Down, Ticks, or Shapes. For this example, Traffic Lights will be used.

Type list

Select Value in the list to compare the total value of the contracts in each category (i.e., Master and Individual) to the conditions specified in each alert (Step 43).

  You could also select one of the other options (Compare Column, Percentage of Column, Percentage of Total, or Percentage of Max). See Conditional Formatting Styles and Types for a description of other conditional formatting types.

Click the expand icon image123.png to display the options for setting up report alerts.

Condition #1

Use the fields to define the color coding for the traffic light icons, which will define the total value of all Master contracts and the total value of all Individual contracts relative to the target value of $3,400,000 (Step 37).

  • Select Greater than or equal to in the Type list, and then enter 3,400,000 in the blank field. Since this is the target value, the top-level condition must include this value.
  • Select Green in the Color list to associate this positive color with the Greater than or equal to option. If the total value of all Master (or Individual) contracts in your database is greater than (or equal to) $3,400,000, a green traffic light icon will display in the report output.

  The available colors are green, blue, orange, and red.

Condition #2

  • Click the + Add Condition link, and then select Orange in the Color list to associate the next condition with a neutral color since this color will reflect a range of contract values.
  • Select Between in the second Type list. Enter 3,000,000 in the first blank field, and then enter 3,400,000 in the second blank field. If the total value of all Master (or Individual) contracts in your database falls between these amounts, an orange icon will display in the report output.

  The values in the Greater than or equal to condition and the Between condition must overlap.

Condition #3

  • Click the + Add Condition link, and then select Red in the Color list to associate this negative color with the Less than or equal to option.
  • Select Less than or equal to in the Type list, and then enter 3,000,000 in the blank field. If the total value of all Master (or Individual) contracts in your database is less than (or equal to) $3,000,000, a red traffic light icon will display in the report output.

  The values in the Less than or equal to condition and the Between condition must overlap.

+ Add Condition link

Click on the link if you want to add another condition.

Clear button

Click if you want to clear any conditional formatting you have added.

Refresh category

Click the expand icon image123.png to display the options for refreshing the report.

Refresh Settings radio buttons

  • If you want to manually refresh the KPI report, leave the default option (Manually) selected, and proceed to Step 56.
  • If you want Novatus to periodically update the KPI Report, select the Periodically radio button.

Frequency list

If you want to change the default frequency from Weekly, make another selection in the list. The options are Minutes, Daily, Fortnightly, Monthly, Quarterly, Biannual, Annually, and End of Month.

Day of Week List

If you want to change the default day of the week from Saturday, select another week day in the list to update the report.

Advanced Settings check box

Click to display fields that will allow you to specify the refresh date and time for the KPI Report.

Time Zone Region list

If you want to change the default time zone from GMT (Greenwich Mean Time), make the appropriate selection in the list. The options are Africa, America, Antarctica, Asia, Atlantic, Australia, Europe, Indian Region, Middle East, and Pacific Region.

If you change the default time zone from GMT, you will be able to select from a list of options for your selected Time Zone Region.

Run Time fields

Use the Hour and Minute lists to set the exact time to refresh your report.

Click on the image115.png icon to close the window and apply the conditional formatting to the data in the report column.

Report Data

View the performance indicators for the root contracts in your report, as represented by the Indicator column in this example. The presence of the icon indicates that the total value of Individual contracts over the past year fell within the target range. The presence of the icon indicates that the total value of Master contracts met or exceeded the target value.

  If the icon displayed, this would indicate that the root contract did not meet the target value set for the year.

Report Legend

Review the legend for the KPI Categorical Report, which interprets the icon displayed in the report.

Click on Report to display a menu, and select Save to display a Save Report window.

Give the KPI Categorical Report a name and enter a description, and then click Save.
