Dates (Metrics)

Formatting dates in a report column includes the format used to display dates and their sort order. Other formatting options include the font style, size, and color, as well as the alignment and any enhancements to highlight dates. The cells containing dates in a report column can be sized, a border and a background color can be added, and the Wrap Text option can be used to display long date formats on multiple lines in the report. Summary data can be added to include a count of all the dates in a column and/or a subtotal of the unique dates in a column.

Display

Column Formatting icon

From the Data view, click on the image243.png icon to display the Column Formatting window.

  Click on the image244.png icon for a column heading to display a menu that allows you to perform a variety of actions for the date fields in the report columns.

Report Fields list box

Locate the date field that you want to format, click on it to select it, and then drag-and-drop it into the canvas. The categories and fields that can be used to format the column fields display in the canvas, and the Display category is expanded.

Display field

If you want to change the text that will display as the column heading, edit the text.

Format list

If you want to change the default from Date, make another selection in the list. See the DATE section of Column Formatting Display Options.

  Select the Timestamp option to include both the date and time.

Date Format list

Select one of the default formatting options, or select Other if you want to create your own date format.

      The default options all use the Day-Month-Year format, instead of the familiar Month-Day-Year format used in the USA.

Custom Date Format field

If you selected the Other option in #5, enter the date format you want displayed in the report.

  The month options include M, MM, MMM (3-letter abbreviation for the month) and MMMM (month spelled out); d and dd for the day; and yy or yyyy for the year. Use either the "/" separator or the "-" separator between the month, day, and year. Precede the date format with "EEEE, " if you want to include the day of the week in the date.

      If users will be sorting the report by dates, it is recommended you enter YYYY-MM-DD in the field so that the program auto-sorts the dates in chronological order.

Chart Granularity list

Select the unit of time that should be used to plot the dates in the report column whenever a chart is generated for the report. The options are Day, Week, Month, Quarter, and Year.

  Data is aggregated by the day.

Show Field option

Click on the image228.png icon if you want to hide the field so that it is not visible in the report.

Suppress Duplicates option

Click on the image254.png icon if you want to turn on the option that removes duplicate values from a column and groups the values under a single value.

Close & Apply icon

Click on the image186.png icon to close the window and apply the formatting to the display of column dates.

Sorting

Sorting category

Click the expand icon image232.png to display the options for sorting the numbers in the column.

Sort By radio buttons

If you want to sort dates by the custom format you defined in #5 and #6 in the Display section, select the Formatted Value radio button.

      This field only displays when you customize the date format.

Direction radio buttons

If you want to change the default sort order from None, select Ascending (0-9) or Descending (9-0).

Close & Apply icon

Click on the image186.png icon to close the window and apply the formatting to the sort order of column dates.

Data

The data fields used to edit and format dates in a report column are the same as those for numeric values.

Borders

The options used to add borders to dates in a report column are the same as those for numeric values.

Total Aggregation radio buttons

If you want to aggregate the dates in the column, change the default selection of None to one of the following options:

  • Count – total number of dates in a column.
  • Count Distinct – total number of unique dates in a column.

Sub Total option

Click on the image254.png icon if you want to turn on the option that displays a subtotal for each unique date in the column.

Close & Apply icon

Click on the image186.png icon to close the window and apply the formatting to the summary of column dates.
