Division of Columns

You can add a column to a report that will display the percentage calculation when the value in one report field is divided by the corresponding value in another report field. In the example below, the Discounted Amount ($) report fields are divided by the Payment Paid Amount report fields to arrive at the percentage discount received on each monthly invoice.

Open the Analytics Report to the Data view, and follow the steps below.

Available Fields list

Locate the field that will be used in the advanced function (e.g., Discounted Amount), and then drag-and-drop a second occurrence of the field into the Columns list box.

  It is recommended that you position the original and duplicate columns side-by-side.

Discounted Amount field

Verify that there are two occurrences of the field in the canvas.

Column icon

Click on the image244.png icon of the column heading for the duplicate column (e.g., Discounted Amount) to display a menu of actions for the column.

Advanced Function option

Click to display the Advanced Metrics window.

Select Function list

Ensure Analysis is selected in the list.

Calculation list

Select Division of Columns to divide the selected column by another column. A description of the calculation displays in the list box to the right of the list.

  You can quickly locate a calculation by typing a few letters of its name in the Search field and depressing the Enter key on your keyboard.

Column list

Select Payment Paid Amount since we are calculating the percentage discount, which is obtained by dividing the Discounted Amount by the Payment Paid Amount.

Save button

Click to apply the calculation to the report.

When the report refreshes, the name of the column has been changed to Division of Discounted Amount, and the percentages are displayed. The advanced function is identified by the presence of the icon in the Columns list box.

To ensure the values are recognized as percentages, edit the format of the field by add a percentage sign as a suffix.

Format option

Click on the image260.png icon for the Format option to display a sub-menu.

Edit option

Click to display the Column Formatting window for the column.

Suffix field

Enter a % symbol into the field.

Close & Apply icon

Click on the image186.png icon to close the window and apply the formatting to the data in the report column.

Output tab

Click to view the application of the advanced function for the entire report.

Rankings

Rankings is a useful function that allows you to rate a category of data, such as the top contracts by value (dollar amount). You can use the default number of rankings (i.e., 10) or you can allow the report reader to select the number of rankings they want the report to generate using a filter.

Open the Analytics Report to the Data view, and follow the steps below.

Calculation list

Select Top N Rank to rank a specified number of report records by their top value. A description of the calculation displays in the list box to the right of the list.

Other rankings include Top 10 Rank, Bottom 10 Rank, Bottom N Rank, and Top N with Ties. See Appendix E – Advanced Functions for a description of other ranking options.

Top field

If you want to change the default from 10, enter another number to indicate how many top values you want the calculation to return.

User Prompt toggle button

If you want the user to be able to change the number of report records that are ranked, as indicated in the Top field, turn the option on by clicking on the button.

Save button

Click to apply the ranking to the report.

The display in the Data view, as well as the Output view, is now limited to the top 10 contracts by value. If you selected the option to allow users to change the number of contracts that display, a filter image301.png icon displays in the Data view. In the Output view, the user is prompted to enter the number of top ranking contracts they want to view in a Filter prompt.

To change the number of top-valued contracts that display in the report, follow the steps below.

Filter icon

Click on the image303.png icon to display a Filters list.

Locate the Top N Rank option, and click on it to display a Select Values prompt.

Select Values field

Change the number to indicate how many records you want to display in the report.

Go button

Click to update the number of ranked report records.

You can also change the number of top-valued contracts that display from the Output view.

Since the Contract Value field was added to the report twice in order to produce the Rank of Contract Value field, the ranking field is formatted with two decimal points. To remove the decimal points, simply reformat the field using the steps below.

Click on the image260.png icon for the Format option to display a sub-menu.

Edit option

Click to display the Column Formatting window for the column.

Decimal Places field

Change the 2 in the field to a 0.

Data category

If you want to center the ranking in the column, click the expand icon image232.png to display the data display options. Click on the middle icon image307.png in the Alignment field.

You can also change the font style, size, and color of the ranking, as well as add a background color to draw attention to the information.

Sort category

If you want to change the ranking order, click the expand icon image232.png to display the options (Ascending, Descending, None), and update the sort order.

Close & Apply icon

Click on the image186.png icon to close the window and apply the formatting to the data in the report column.

The reformatted report displays in the Output view, as well as the Data view.
