Data (Default) View

This page applies to: Analytics Add-on module

The Data view contains the Report Builder, which is used to create and preview the report before you save it. The drag-and-drop feature is used to move all report fields into the canvas, as well as remove fields from the canvas by dragging them back to the Available Fields list. There is a Sections area where you can drag-and-drop the field you want to use to "group" your data. For example, a logical grouping of data in Novatus Contracts would be by company or contract.

There is also a Filters area where you can define one or more restrictions on the data you want displayed in your report. The Analysis Style section allows you to "drill" through hierarchies within your data, such as the Contract Type field in the Contract Profile screen or a tree field in a Dynamic Form.

Navigation tabs

Click on a tab to display a different view of the Analytic Report:

  • Report – click to displays options to Save or Delete a report, save an existing report as another report (Save As), or Undo Changes you have made to a report during a session.
  • Charts – click to display a screen where you can select a chart to visually display your report data.
  • Output – click to preview the entire report as one long, scrollable document. You also have the option of viewing the report as individual pages or divided into tabbed sections. 
  • Related Reports – this tab only displays when the Co-Display option is selected in the Analysis Style panel and is used in Creating a Co-Display Report.

The Data (default) view is the Report Builder, which is used to create and preview the report. Use Report Formatting to customize the formatting for the entire report.

Available Fields list

Locate the fields you want to use in your report by clicking on a image016.png icon to display the fields in the category. Click on a field, and then drag-and-drop it into the Table Preview panel. The field automatically displays in the Columns list box.

Fields that display with a image017.png icon are dimensions, which are the attributes of your data. Fields that display with a image018.png icon are metrics, which are quantitative measurements. For example, contract agreement type is a dimension while contract value is a metric. In creating a report, not every metric can be combined with every dimension.

Search field

To quickly locate a field without having to scroll through the list of Available Fields, begin entering the name of the field in the Search field to automatically filter the list with possible matches. Then, click on the field, and drag-and-drop it into the Table Preview panel. To clear the filter, click on the image019.png icon.

Table Preview panel

View a preview of the final report after dragging-and-dropping one or more fields into this area. Use Column Formatting to format the individual columns in the report.

You can also drag-and-drop fields directly into the Columns list box or the Rows list box. Fields can be reordered in both the Table Preview and Columns/Rows list boxes by clicking on the column header (or name), and dragging-and-dropping it to the left or right.

Report fields (Columns and Rows)

Drag-and-drop fields directly into the Columns list box to display data in column-based tables. To display data in row-based tables, drag-and-drop fields into the Rows list box. You can even create cross-tab tables by adding fields to both the Columns and Rows list boxes.

Fields that are dragged-and-dropped into the Table Preview are automatically added to the Columns list box.

Report field formatting

Mouse over the field until the image020.png icon displays, and click on it to display the formatting options for the field. Use the Column Quick Menu options to customize the data display in your report.

Sections panel

If you want to divide the report into sections by a particular field, drag-and-drop the field from the Available Fields list to the panel. Example: The Company Name and Contract Number fields are typically used to section reports.

Click on the Settings link to apply Section Formatting.

Filters panel

If you want to apply a filter to the report data, drag-and-drop the filter by field from the Available Fields list to the panel. Example: The Company/Contract Status and Document Types fields are popular filters.

Click on the Advanced settings link to apply Filter Formatting.

Analysis Style panel

Make the appropriate selection to enable related reports and drill functionality in single or related reports. See Working With Analysis Styles.

Add Calculation option

Click on the icon to display the Calculate Field window if you are Adding a Calculation to a Report.

Available Calculated Field

Click on the Calculated Fields folder to display any calculated fields in the report. To add a calculated field to the report, click on it, and then drag-and-drop it to the Columns or Rows list box.

Report Data panel

  • Data Source and View – ensure the source data and view used to build your reports reflects the name of your Novatus Contracts environment and the session number.
  • Active Row Limit field – change the default value (10,000) if you want to limit the rows returned in your report, as viewed in the Output screen.
  • Show Duplicate Records check box – select if you want to display any duplicate records in your report.
  • Auto Refresh – de-select the option if you want to build the report with dummy data, rather than continually querying the database after each change to a report field. 
  • Preview Row Limit field – enter a value in the field if you want to limit the rows shown in the Table Preview panel.

Table Preview stats

Review the number of rows in the report preview and the time taken to return the preview.

Refresh Report link

Click to refresh the data displayed in the Table Preview.

Close icon

Click the image019.png icon to close the Report Builder window.
