Editing an Advanced Report

An Advanced Report can easily be edited to accommodate your reporting needs. Editing an existing report is a quick and easy way to create a new report since advanced reports can be very complex.

There are two major types of edits that can be made to an advanced report: Data Updates and Formatting Changes.

Data Updates

You can change the type and amount of data in your report by adding and/or removing data fields and by associating the report with a new or different search query.

Adding and Deleting Data Fields

You can add and delete existing fields in the Detail section of the report layout, including sub-report data fields.

Navigation Toolbar

Click on Reports to display a menu, and then select Reports to display the Report Browse screen.

Note: If Reports is not in your Navigation Toolbar, you do not have any Reporting permissions.

Advanced Report record

Locate the advanced report you want to edit, and click on it to select it. Advanced reports are located in the Report Group: Advanced Report section of the screen.

Note: To quickly locate the report, enter the report name (or other identifier) in the Search field, and depress the Enter key on your keyboard. Click the icon to clear the search.

Edit Report button

Click to display the report layout for the report.

Note: You can also double-click on the report record to display the report layout.

Tables folder

If you want to add a field to the report, click on the Primary, Secondary, or SR (sub-report) folder that contains the field you want to add. A list of the available fields for the selected table displays in the Fields section of the screen. Use the scroll bar to view all the available fields for the selected table.

Field list

Locate the field you want to add to the report (e.g., Contract Manager), and click on it to select it. Depending on the field added, you may want to reposition the field in the Detail section of the report.

New Report Field

Verify that the selected field displays in both the Column Header and Detail sections of the report layout.

Properties grid

Click on the new field in the Column Header section to display formatting options for the field. Edit the position and size of the field, as needed. You can also change the font size, color, and style of the text in the field.

Note: You can also edit the properties for the new field in the Detail section of the screen. The data in this section is auto-populated by Novatus when the report is run and contains the system data for these fields.

If you want to delete a field from the report, locate the field in the Detail section of the report layout.

Delete prompt

Right-click on the field to display a prompt, and click on the prompt to delete the field.

Locate the same field in the Column Header section of the report layout.

Right-click on the field to display a  prompt, and click on the prompt to delete the field.

Save button

Click to save your edits to the advanced report.

 
Associating a Report with a New Search Query

Another way to change the data that displays in your report is to associate the report with a different saved search query.

Click to display the Query Selection window.

Search Query records

Locate the saved search you want to associate with the report format, and click on it to select it (e.g., Software Contracts – the report will display data for only those contracts that contain the word "software" in the contract group or contract type name.

OK button

Click to associate the search, and close the Query Selection window.

Save button

Click to associate the search query with the advanced report.

Formatting Changes

In addition to basic formatting options, you can move a field within a report, resize a field or section of the report, or delete an entire report section.

Moving a Field

You can move a field within a report section or between report sections.

Report field

If you want to move a report field within a section, click on it to select it, and then drag-and-drop it to the desired location in the section. You can also use the Left and Top fields in the Properties grid to reposition a field in a section.

Note: Since most fields display in both the Detail and the Column Heading sections, you must move the field in both sections so that the data lines up with the appropriate heading.

If you want to move a report field from one section to another, click on the field to select it. The field's properties display in the Properties grid.

Scroll down to view the field list, and then click on it to activate it.

Locate the new section for the report, and then click on it to select it.

Verify that the field has been moved to the selected section.

Save button

Click to save your edits to the advanced report.

 
Resizing Report Fields and Sections

You can change the size of an individual field in a report to accommodate the amount of data that will display in the field. You can also increase the size of a report section to accommodate several data fields, as well as decrease the size of section with no fields.

  • If you want to increase the length of a field, "mouse over" the right or left border of the field until the double-sided horizontal arrow displays, and then drag the border of the field to increase or decrease its width.
  • If you want to increase or decrease the height of a field, "mouse over" the top or bottom border of the field until the double-sided vertical arrow displays, and then drag the border of the field to the desired height.

Note: To perform incremental changes to the length and height of a report field, click on the field to select it, and then use the Cell Width and Cell Height fields in the Properties grid.

If you want to change the size of a report section, "mouse over" the bottom of any section until the double-sided vertical arrow displays, and then drag the border to the desired height.

Save button

Click to save your edits to the advanced report.

 
Deleting a Report Section

The only report sections that you can delete are the Group By Header and Footer sections of the report layout.

Delete icon

Click on the icon to delete the Group By section. A confirmation prompt displays.

Yes button

Click to delete the report section. If you delete a Group By Header section, the Group By Footer section is also deleted from the report layout (and vice versa).

Save button

Click to save your edits to the advanced report.
