Managing Flow Documents

A document can be attached to a flow if a user wants to provide those who view the flow with a file that explains or verifies completion of an individual flow step, a stage in the flow, or the entire flow.  The documents that can be attached to a flow include all the documents uploaded to the Company Profile and Contract Profile for the flow, and any global documents available to the user who attaches the document to the flow.

The documents for a flow are managed from a Contract Profile, Company Profile, or Project Profile.

  Although the Contract Profile is used in the example below, the same steps also apply to managing a flow document in a Company Profile and Project Profile.

Flow Options icon

Click on the icon to display a menu with four options: Invalidate Flow, Show Activity Grid, Show Flow Diagram and Manage Flow Documents.

Click to display the Flow Document Manager window.

Available Documents section

Locate the document you want to add to the flow, and click on its icon to add it as an attachment to the flow. The selected document moves to the Attached Documents section. To remove a document from the Attached Documents section, simply click on its Icon Delete icon.

Note: The default display is Contract Documents.

D Column display If you want to change the information that displays for a document, click on the arrow Icon List Arrow2 icon to the right of any column to display the Sort/Column menu.  Click on Columns to display a list of available fields, and select the fields you want displayed by clicking in the check box to the left of the field.

Company Documents and Global Documents tabs

If the document you need is not listed in the default view, click on the Company Documents or Global Documents tab to display a list of the company or global documents available.

Save button

Click to save your information and attach a document to the flow. 

When other users click on the  icon and select the Manage Flow Documents option, the attached document will be available for their review.
