Viewing Flows in a Profile

A summary of the flows that are open and active, as well as those that have been completed, can be viewed from the Flow Activities window and the Workflows screen in the Contract, Company, or Project Profile, or from the Active Workflow Items portlet in the Dashboard. A completed flow displays with a completed status of "true," and an open flow carries a "false" status.

  Although the Contract Profile is used in the examples below, the same steps also apply to viewing flows in a Company Profile and Project Profile.

Flow Activities Window

Flows can be viewed from the Flow Activities window in a Contract Profile, Company Profile, or Project Profile.

Click on the Icon Properties icon to display a menu with four options: Invalidate Flow, Show Activity Grid, Show Flow Diagram, and Manage Flow Documents.

Note: The Invalidate Flow option is not available when a flow has been completed.

Show Activity Grid option

Select to display the Flow Activities window, which provides information on the steps in the flow, including the name of the step, its description, the date on which it was started and ended, the duration of the step (amount of time it took to complete), and the name of the person who completed the step. The window also displays any notes on the approval/declination of an Approval step, as well as general notes provided for any of the other types of steps.

Stage Header toggle bar

Click on the stage header, which is a toggle bar that hides/displays the steps in the stage.

Column display

Click on the arrow Icon List Arrow2 icon to the right of any column to display the Sort/Column menu, and select Columns to display a list of available fields. Select the fields you want displayed in the window by clicking in the check box to the left of the field.

Flows can be viewed from the Workflows browse screen in a Contract Profile, Company Profile, or Project Profile.

Click to launch the Workflows browse screen, which displays inside the Workflow Profile.

Click to display the Flows browse screen.

Note: If there is only one flow, the browse screen does not display. Instead, the individual steps in the flow are listed, as shown below. To display the browse screen shown above, click the Back to Browse button.

Flow records

Locate the flow whose information you want to view, and click on it to select it.

Note: If the value in the Completed column is false, the flow is still in progress; if it is true, the flow has been completed. If the value in the Flow Invalidated column is false, the flow is still active; if it is true, the flow has been inactivated by a user.

Important: If you have Flow Administrator permissions, a flow can be run more than once from the same profile, and a flow can also be run for an existing profile.

Flow steps

View the steps that have been completed (i.e., Completed By column is populated with name of person who completed the step), along with the date and time the step was started and ended. Additional information for the flow step is also available, including its description, any notes provided for the step, and the duration of time between the completion of subsequent steps.

Note: If a step was skipped, the step displays in gray text and contains the strikethrough feature.

Important: You can also view the activity for a flow from the Flow Options Menu in the profile.

Column display

If you want to change the fields that are displayed, click on the arrow icon to the right of any column to display the Sort/Column menu. Click on Columns to display a list of available fields, and then select the fields you want displayed by clicking in the check box to the left of the field.

Flows can also be viewed from the Active Workflow Items Portlet in your Dashboard.

Scroll down to locate the portlet, and click on its Icon Add P button.

Click to view a list of the flow steps that have been assigned to you for completion.

My Contract Flows tab

Click to view a list of the steps (both open and completed) for all the flows that you have permission to complete.
