Creating a Task List

The Tasks feature has a Task List option that uses templates with a set of predefined steps for a procedure that is used often by your company, such as the actions that must be taken once a contract is signed by both parties. Since a Task List a simplified version of the workflow, it is recommended that you review both workflow and task list templates to determine which option better suits your needs.

A Task List is added from the Tasks browse screen in a Contract Profile, Company Profile, and Project Profile.

  Although the Contract Profile is used in the example below, the same steps also apply to adding a Task List in a Company Profile and Project Profile.

Click to display the Tasks browse screen.

Click to display the Add Task List window.

Task List list

Locate the template that best describes the process or procedure you want to accomplish, and click on it to select it

Click to add the selected task list and display the tasks in the list.

Task List step

If you want to customize the description of a task in the list, click in the field and type over the existing text. Tasks can be numbered if they need to be performed in a specific order.

Start Date field

Provide the start date for a task by clicking in the field and entering the date using the MM/DD/YYYY format. You can also click on the icon and use the calendar to quickly select the start date.

Due Date field

Provide the date on which a task must be completed by clicking in the field and entering the date using the MM/DD/YYYY format.

Task Owner list

This field is not editable since the task owner is defined in the template (Step C).

Save button

Click to save your information and create the task list. The Tasks browse screen re-displays.

Task List records

Ensure the task list has been added by locating the individual tasks in the list in the Tasks screen. Clicking on the Task Subject header will sort the tasks alphabetically in ascending (A-Z or 0-9) or descending (Z-A or 9-0) order.

Note: The tasks in a list are completed and edited in the same way as individual tasks. In addition, the procedures for viewing completed tasks and reopening a task in a task list are the same as those for individual tasks.
