Adding a Task

Tasks reflect the activities that need to be performed for a contract, company, or project. You can add a task to a Contract, Company, or Project Profile to record and monitor the task's progress and to ensure it is completed in a timely manner.

A task is added from the Tasks browse screen in a Contract Profile, Company Profile, and Project Profile.

  Although the Contract Profile is used in the example below, the same steps also apply to adding a task in a Company Profile and Project Profile.

Click to display the Tasks browse screen.

New Task record

A new task record is automatically displayed at the top of the task record list when you open the browse screen. In addition, the Start Date and Due Date fields are automatically populated with the current date.

Note: Any existing tasks are displayed under the new task record, and "past due" tasks are displayed in red text.

Task Subject field

Click in the field to activate it, and enter a descriptive name for the task so that it is readily understandable to the person who must complete the task.

Start Date field

If you want to change the task's start date from the default date (i.e., today's date), click in the field and type over the existing date. You can also click on the icon and use the calendar to quickly select the start date.

Due Date field

If you want to change the task's due date from the default date (i.e., today's date), click in the field and type over the existing date.

Task Owner list

Click on the list arrow to activate the list, and then select the person who is responsible for completing the task.

Add Task button

Click to add a new task. The task is added as the last record in the Tasks browse screen.

Note: A new task record is automatically displayed at the top of the task record list in the browse screen. To add another task, repeat Steps C-G.

   If a task contains a icon, you are the individual who created the task. As the creator, you can edit, complete, and reopen a task, even if you are not the task owner (i.e., person assigned to complete the task).

When a task is assigned, an email notification is sent out to the individual assigned to complete the task. The email message displays "Novatus Contract Manager Task Notification" as the subject and "Contracts System Task" as the sender. For a contract task, the body of the email contains the name of the company, contract number, task description, task due date, and hot links that take you directly to the Contract (Go To Contract) and Company (Go To Company) profiles, or to the Tasks (Go To Task) browse screen in Novatus.
