Editing an Event

You can easily edit an event by updating the date on which it is scheduled to occur, changing the lead time between the event date and the date on which email notifications are sent for the event, designating a different person as the event owner, or adding/removing a reminder for the event.

      The procedure for editing the event alert for the contract's original expiration date is accomplished from the Contract Profile, and not the Events screen.

An event is edited from the Events browse screen in a Contract Profile or Company Profile.

  Although the Contract Profile is used in the example below, the same steps also apply to editing an event in a Company Profile.

Click to display the Events browse screen.

Locate the event you want to edit, and click on the event record to open its Event Profile.

Click to display the Event Profile in edit mode.

Event Name field

If you want to change the name of the event, click in the field and type over (or augment) the existing text.

Event Templates list

If you want to change the template used for the event, make a different selection in the list.

Note: Based on the template selected, the Event Description, Warn Days, and Notification Message fields may auto-populate. However, you can still edit the information in these fields.

Event Description field

If you want to edit the description, or provide a description if the field is blank, click in the field and edit or enter the description of the event. This description appears in the body of the email message that is sent to all recipients, notifying them of the upcoming event.

Note: If the text you enter exceeds the viewing area of the field, click the Expand link to display a window that will allow you to view the text in its entirety.

Event Owner list

If you want to assign the responsibility for completing the event to another user, make a different selection in the list.

Event Date field

If you want to change the date of the event, click in the field and edit the existing date. You can also click on the icon to use the pop-up calendar to select the new date.

Warn Days field

If you want to change the number of days prior to the event date that you want Novatus to send an email message to recipients, notifying them of the event, click in the field and edit the value. The Notification Date field is automatically populated based on the number of days entered in this field.

Important: The minimum number of warn days is "1," since email messages for events are sent from Novatus daily, and not immediately.

Event Frequency list

If you want to change how often the event occurs, click in the field and make a different selection in the list. The options are Single, Monthly, or Yearly.

Frequency field

If you selected Monthly or Yearly in the Frequency list, enter a value in this field to identify how many times during the month or year that you want Novatus to send out an email message for this event series. The Event Repeat field is auto-populated.

Note: A Monthly or Yearly event allows you to enter a value in the Frequency field, which creates an event series, which is an event that is repeated on a regular basis (e.g., weekly, monthly, or yearly) and generates email alerts and reminders.

Example: If you want an email message for the event to be sent once a year, select Yearly in the Event Frequency list, and enter 1 in the Frequency field. The Event Repeat field will display the text: Event will repeat every 1 year(s).

End Date field

If you want to edit the date on which email messages for the event stop, or enter the date if the field is blank, click in the field and edit or enter the future date. You do not have to enter an end date for the event.

To field

If you want to edit the list of people who receive email notifications for the event, click on the list arrow to display the Address Book Add and remove people, as well as any distribution lists, to update the recipients for the event alert.

Notification Message field

If you want to edit the text that displays in the body of the email message that is sent to all recipients, notifying them of the upcoming event, click in the field and type over (or augment) the existing text.

Set Reminder check box

  • If the check box is selected, and you want to send out an additional email message to remind recipients about the event, proceed to Step P.
  • If the check box is selected, and you do not want to send out a reminder email, deselect the check box and proceed to Step S.
  • If the check box is not selected, and you want to send out an additional email message to remind recipients about the event., proceed to Step P.

Reminder Days field

If you want to edit the number of days prior to the event date that Novatus sends a reminder email message, or if the field is blank, click in the field and edit or enter the number of "reminder days." The Reminder Date field is automatically populated based on the number of days entered in this field.

Reminder list

If you want to edit the list of people who receive the reminder email message, click on the list arrow to display the Address Book Add and remove people, as well as any distribution lists, to update the recipients for the reminder event alert.

If you want to edit the text that displays in the body of the email message that is sent to all recipients, reminding them of the upcoming event, click in the field and type over (or augment) the existing text.

Documents section

If you want to remove a document from the Attached Documents section, simply click on its Icon Delete icon. If you want to add a document as an attachment to the email messages sent for the event, click on its icon in the Available Documents section. Use the scroll bar to view the entire list of available documents.

Note: The default display in the Available Documents section is Contract Documents. To quickly locate a document, click on a column heading to sort the list in alphabetical order. You may have to use the scroll bar to view the entire list of available documents.

Company Documents and Global Documents tabs

If the document you need is not listed in the default view, click on the Company Documents or Global Documents tab to display a list of the company or global documents available.

Save button

Click to save your information and edit the information for the event.
