Submitting a Document for eSignature

Once the contract in a document package has been negotiated and is ready for signature, an Administrator of the package can submit the document for electronic signature.  Novatus works in conjunction with DocuSign and Adobe Sign to implement the electronic signing process, resulting in a secure and legally binding contract document.

The process of submitting a document in a document package for electronic signature involves three steps:

  1. Run the eSignature Wizard (with a template or without a template) so that you can identify the document(s) in the package that need to be signed electronically, and provide the email addresses for the signatories and any individuals you want to copy on the email message containing the document(s) sent for eSignature.
  2.  Add Signature fields to indicate the locations where each signatory needs to provide their electronic signature. In addition, other fields, such as Initials, Date, and Attachment tags can be inserted to indicate the locations where a signatory needs to initial the document, provide the date he/she signed the contract, or add an attachment to the signed contract. Based on the eSignature solution you are using, the process of adding Signature fields in DocuSign will differ slightly from that used in Adobe Sign.
  3. Submit Document for eSignature after previewing it and making any necessary edits. Edits can be made prior to submission of the envelope, as well as after the envelope is submittedIf needed, the envelope can be voided so that the request for signature contained in the email message is called back.

An Administrator of the document package can run the eSignature Wizard from three locations:

  • Document Packages portlet in the Dashboard.
    • In the portlet, click on any document record to display the portlet in full screen mode.
    • In the Document Packages screen, locate the package you want to submit for eSignature, and click its icon.

  • Document Packages screen in the Contract Profile.
    • In the Document Packages portlet in the Dashboard, click Icon Go To.png to jump to the Document Packages screen in the Contract Profile.
    • In the Document Packages screen, locate the document package you want to submit for eSignature, and click its icon.
  • My Place menu in the Navigation Toolbar.
    • In the menu, click the Document Packages link.
    • In the Document Packages screen, locate the document package you want to submit for eSignature, and click its icon.

Once the contract is submitted for electronic signature, you can track the document to ensure the counter-party signs the contact electronically in Novatus or the DocuSign/Adobe Sign cloud.  If the contract is not signed in a timely manner, you may need to resubmit the request for electronic signature. Once the counter-party signs the contract, you need to ensure that your signatory electronically signs the document, or reassigns a signatory in his/her absence. In DocuSign, a witness can be added to validate the electronic signing of the contract.
