Viewing and Adding Additional Parties

The contracts stored in your Novatus database are typically contracts between your company and another company, organization, partnership, institution, or individual. The Additional Parties feature allows you to view, add, and manage those contracts that legally bind more than two parties.

Viewing a Contract's Additional Parties

If a contract is entered into by more than two parties (companies), you can view the information for the additional parties from the Contract Profile.

Click on the image732.png icon in the Additional Parties title bar to open the Additional Parties section. "Additional Parties" in the title bar is appended by a number, indicating the current number of additional parties to the contract.

Note: The Additional Parties section of the Contract Profile screen will automatically display whenever the profile is opened if your Administrator has selected this system setting.

Additional Party records

View the additional parties to the contract. You can edit the information for an additional party by clicking on its record.

Jump To icon

Click on the image734.png icon for an additional party to view the Company Profile.

Delete icon

Click on the image721.png icon to delete the additional party

Add Additional Party button

Click to display the fields you need to populate in order to add another party to the contract.

Sort option

To change the sort order of the information in a column, click (toggle) on the column heading.

Column Display option

To filter the information in a screen, click on the arrow image735.png icon to the right of any column to display the Sort/Column menu, and select Columns to display a list of available fields. Select the fields you want displayed in the browse screen by clicking in the check box to the left of the field.

Reorder and Resize Columns

  • To resize a column, mouse over the right or left border of the header until the resize image736.png icon appears. Then, click on the border and drag it until the column is the desired width.
  • To move a column to a different location in the browse screen, click on the column header and then drag it to the left or right, and drop it in the desired location. If you are successfully moving a column of data, the image737.png icon displays during the move.

Adding an Additional Party to a Contract

An additional party is added to a contract from the Contract Profile.

Click on the image732.png icon in the Additional Parties title bar to open the Additional Parties section. "Additional Parties" in the title bar is appended by a number, indicating the current number of additional parties to the contract.

Add Additional Party button

Click to display the fields you need to populate in order to add another party to the contract.

  The Additional Party list is the only required field.

Additional Party list

Click on the image714.png icon to display a window listing all the companies in your system. Locate the company that is the additional party to the contract, and click on the company record to select it.

Note: You can page through the list using the navigation arrows, or use the Search option by entering the first few letters of the company name into the Search field and clicking the image741.png icon.

Notes field

Enter any notes or information relevant to the company becoming an additional party to the contract.

Party Type list

Select the party type that best describes the role or function of the additional party for the contract.

Party Effective Date field

Enter the date on which the additional party became a party to the contract. You can also click on the image717.png icon to use the pop-up calendar to select the date.

Party Expiration Date field

Enter the date on which the additional party will cease to be a party to the contract, if applicable. You can also click on the image717.png icon to use the pop-up calendar to select the date.

Save button

Click to save your information and add the additional party to the contract.

Additional Party record

Verify that the additional party has been added to the contract. From the additional party record, you can also edit the information for the additional party and delete the additional party by clicking on the delete Icon Delete icon.

Jump To icon

Click on the image734.png icon if you want to view the Company Profile for the additional party.
