Locking and Unlocking Documents

 A document in a document package can be "locked" by the package Administrator to ensure no further edits are made. A locked document can also be "unlocked" by the Administrator if it is determined that further edits need to be made. Whenever a document is locked or unlocked, email notification is sent to all members of the document package, notifying them of the status change for the document being negotiated.

The process of locking a document is identical to that of marking a document as complete. Conversely, the process of unlocking a document is identical to that of "unmarking" a completed document.

Locking a Document

1.  In the Dashboard, locate the Document Packages portlet. 

  You can also lock a document from the Current tab in the Document Packages screen in a Contract Profile, or from the Current tab in the screen that displays when you click the Document Packages link in your My Place menu.

2.  In the portlet, locate the package with the document you want to lock so that no further revisions can be made.

3.  In the document package, locate the document, and click its image877.png icon.

4.  In the Complete Document prompt, click Yes.

  • Verify the icon is replaced by the image879.png icon and the Negotiation Status of the document is updated to Completed.

  Once all the documents in a document package are marked as complete, the contract can be printed and sent to the appropriate parties for signature, or submitted for eSignature.

Unlocking a Document

While an Administrator who is a Novatus program user can unlock a locked document, an Administrator who accesses a document package from the Novatus Portal cannot unlock a locked document.

1.  In the Dashboard, locate the Document Packages portlet. 

  You can also unlock a document from the Completed tab in the Document Packages screen in a Contract Profile, or from the Completed tab in the screen that displays when you click the Document Packages link in your My Place menu.

2.  In the portlet, locate the package with the document you want to lock so that further revisions can be made.

3.  In the document package, locate the document, and click its image879.png icon.

  • Verify the icon is replaced by the image877.png icon and the Negotiation Status of the document is updated to Open.
