Editing an Event Alert for a Contract Original Expiration Date

After setting up an event alert for the original expiration date of a contract, you can change the date the event alert is sent out, the event owner (i.e., person responsible for renewing the contract), the people notified about the contract's expiration date, and the number of days after the first event alert that a reminder email is sent.

Event Owner list

If you want to change the event owner, select another person in the list of people available to perform this duty. The Event Owner will receive Event Notification Reports via email.

Notification List

If you want to update the list of people who are notified about the contract's expiration date, click on the list arrow to display the Address Book, and update those selected. If an email distribution list was used, you can select a different list or select individual recipients.

Template list

If you want to change the template used for the event alert, make a different selection in the list. The Description and Notification Text fields are automatically populated with information from the template.

Note: If you do not want to use a template, enter the text you want displayed in the subject line of the email message in the Description field, and then enter the body of the email message in the Notification Text field. If the text you enter exceeds the viewing a field, click the Expand link to display a window that will allow you to view the text in its entirety.

Warn Days field

If you want to change the number of days prior to the event date that the email alert is sent, edit the value in the field. You can also use the increment and decrement arrows to increase or decrease the number of days.

Use Reminder check box

  • If you want to send out an email reminding individuals about the upcoming event, ensure the check box is selected and complete Steps F-H.
  • If you do not want to send a reminder email message, ensure the check box is deselected, and proceed to Step I.

If you want to update the list of people who receive an email reminder for the event, click on the list arrow to display the Address Book, and update those selected. If an email distribution list was used, you can select a different list or select individual recipients.

Reminder Days field

If you want to change the number of days prior to the event date that the reminder email message is sent, edit the value in the field. You can also use the increment and decrement arrows to increase or decrease the number of days.

Reminder Text field

If you want to edit the text that will display in the body of the reminder email message, click in the field and type over (or augment) the existing text. If a template is selected in the Template list, this field is automatically populated with a message, but you can edit the message, if desired.

Note: If the text you enter exceeds the viewing a field, click the Expand link to display a window that will allow you to view the text in its entirety.

Click to update the event alert information and close the window.

Save button

Click to save your changes and edit the contract information.
