Move Company Document Wizard

The Move Document Wizard allows you to move documents from one Company Profile to another, or from a Company Profile to a Contract Profile. This tool is helpful in the event you make an error and upload a document to the wrong profile, or if you upload a document as a new document, rather than a revision to an existing document.

To access the Wizard, open the Company Profile, and scroll down to the Links section.

Documents link

Click to display the Documents browse screen. The link is appended by a number, indicating the number of documents contained in the profile.

Document records

Locate the document you want to move and click on it to display its Document Profile screen.

Search option

To quickly locate a document, type the first few letters of the document name or other identifier in the Search field, and click the icon. To clear the filter, click on the icon.

Note: If you only know part of the document name or other identifier, use a leading and/or trailing wild card (denoted by an asterisk "*"). For example, if you wanted to search for a document that you know contains the word "test" in its name, you would enter *test* in the Search field.

Important: Use the Search filter to limit the fields that are searched by clicking on the button to display a list of searchable fields. Select only the check box(es) for the field(s) you want to search to guarantee accurate results.

Click to launch the Move Document Wizard.

Note: If the Move Document button is not displayed, click on the Toolbar Expansion icon to display any hidden buttons.

 

Step 1: Read Welcome Screen

Step 2: Select Current Document or Document Family

Document Selection options

Click inside one of the following radio buttons to indicate what you want to move:

  • Please click here to move only the current document. This is the document whose profile you opened, and then selected the Move Document button.
  • Please click here to move this document's entire document family. A document family refers to the original document and all of the revisions to the document that have been uploaded to the system.

Step 3: Choose a Document Location

Document Location options

Click inside one of the following radio buttons to indicate where you want to move the document:

  • Company - moves the document to a Company Profile.
  • Contract - move the document a Contract Profile.
  • Document Family - moves the document so that it is now grouped with another document. For example, if you erroneously uploaded a document revision as a new document, selecting the Document Family option allows you to move the document so that it now appears within the File Folder for the original document in the Documents browse screen.

Step 4: Identify Target Location

Company Name or Contract Number list

Click in the field to display a window with a list of all the companies or contracts in your Novatus system.

Company or Contract record

Locate the company or contract you want to move the document to, and click on it to select it. The selected company or contract appears in the field list.

Search option

To quickly locate a company or contract, enter the first few letters of the company or contract name, or other identifier, in the Search field, and click the icon. To clear the filter, click on the icon.

Note: You can also use the navigation icons and the Page field to locate the company or contract.

Step 5: Review Document Move Summary

Document Move Summary

Review and verify the information on the document (or document family) move to the Company or Contract Profile.

Finish button

Click to move the document (or document family) and complete the Move Document Wizard.
