Revising a Clause

You can quickly and easily edit any of the clauses in your Clause Library if you want to update the language in your company's contract(s). When you revise the text in a clause, a revision record is automatically generated and the changes can be viewed from the Clause Profile screen.

Navigation Toolbar

Click on My Place to display the menu, and then click on Clauses to display your Clause Browse screen.

Note: Categories, as well as other ways to group clauses (e.g., name, type, security level) display as gray headers.

Clause records

Locate the clause you want to revise, and then click on it to display its Clause Profile. You can view the clause text from the browse screen by clicking on its expand icon. To hide the text, click on the icon.

Search option

If you want to quickly locate a specific clause, type the first few letters of the clause name in the Search field, and click the icon. To clear the filter, click on the icon.

Note: You can also sort the clauses in ascending and/or descending order by name, type, and security level by clicking (and toggling) on the Name, Type, and Clause Security column headings. If you are grouping clauses by something other than category, the Category column is also listed and can be sorted in ascending and/or descending order.

Important: Use the Search Filter to limit the fields that are searched by clicking on the button to display a list of searchable fields. Select only the check box(es) for the field(s) you want to search to guarantee accurate results.

Edit Clause button

Click to display the Clause Profile Edit screen.

Note: If the Edit Clause button is not in your Clause Profile screen, you do not have the permission to edit clauses.

Clause Name field

If you want to change the name of the clause, type over the existing text.

Clause Description field

If you want to change the description for the clause, type over the existing text.

Note: If the text you enter exceeds the viewing area of the field, click the Expand link to display a window that will allow you to view the text in its entirety.

Clause Type list

If you want to change the clause type, make a different selection in the list.

Clause Category list

If you want to change the way the clause is categorized in the browse screen, make a different selection in the list.

Clause Security list

If you want to change the security level for the clause, make a different selection in the list. Security levels for clauses are linked to user roles. Changing the security to a lower level will allow more users to access the clause, while changing the security to a higher level will preclude more users from accessing the clause.

Clause Text field

If you want to update the wording of the clause, replace or augment the existing text.

Formatting toolbar

If you want to format the text in the clause, use the bold, italics, underline, bullets, and numbering features, as needed.

Save button

Click to save your changes and edit the contract clause.

If you updated the clause text, you can view the changes in the Revision History.

View History button

Click to refresh the screen and display the changes to the clause text.

Revision tracking display

Review your revision(s) to the clause text. Text that has been deleted displays with a pink background and contains the strike-through feature. Text that has been added displays with a light green background.

Hide History button

Click to hide the clause revision history.
