Adding an External Participant

You can easily add people to your Address Book so that you can send them email messages from the Novatus system whenever they need to be kept informed, or their input is needed, during the contract creation, negotiation, management, or archival processes. However, an external participant cannot access the Novatus system directly, as a program user. Rather, an external participant is kept informed via email and is able to access the data in the Novatus system and use the program features via the Portal whenever their input is needed.

Before adding an external participant, ensure that the person has not already been added to the Novatus system by checking your Person Browse screen and/or the Address Book.

Navigation Toolbar

Click on My Place to display the menu, and then click on People to display the Person Browse screen.

Add External Person button

Click to display a screen that allows you to add an external person to the database.

Note: If you want to link an external person to a company, add the person as a company person.

First Name and Last Name fields

Enter the first and last name of the external participant.

Email Address field

Enter the email address for the external participant.

Functions list

Select all the functions that the external participant can have in the Novatus system. To select more than one function, simply click on additional functions. To deselect a function, click on the highlighted function.

Optional fields

Provide the optional information for the external participant, if known. The optional fields are Title, Address, City, State, Postal Code, Country, contact numbers (Work, Mobile, Fax, Home), Mail Stop, Organization, and any Notes you want to provide for the external participant.

Save button

Click to add the external participant to the Novatus system.
