Numeric Values (Metrics)

Formatting numeric values includes the display of the numbers in report columns, the sort order, the addition of borders to separate numerical values, and the font style, size, and text color of the numbers, as well as their alignment in a field and any enhancements to highlight values. Columns can also be formatted to include aggregations, such as summing, averaging, and counting the number of values, as well as inserting sub-totals.

Display

Column Formatting icon

From the Data view, click on the image243.png icon to display the Column Formatting window.

Click on the image244.png icon for a column heading to display a menu that allows you to perform a variety of actions for the numeric fields in the report columns.

Report Fields list box

Locate the numeric field that you want to format, click on it to select it, and then drag-and-drop it into the canvas. The categories and fields that can be used to format the column fields display in the canvas, and the Display category is expanded.

Display field

If you want to change the text that will display as the column heading, edit the text.

Format list

If you want to change the default from Numeric, make another selection in the list. See the NUMERIC section of Appendix A – Column Formatting Display Options.

Decimal Places field

If you want to change the number of decimal places for the numeric values that display in the column, type over the default value of 2.

Prefix field

If you want the numeric values in the column to be preceded with text or a symbol, enter this information. Example: Enter a $ sign if the numbers reflect money.

Suffix field

If you want the numeric values in the column to be appended with text or a symbol, enter this information. Example: Enter -16 if the numeric value is an invoice number that needs the invoice year appended to the number.

Rounding list

If you want to change the default rounding from Round Half Up, make another selection in the list. The options are:

  • Round Half Up –rounds values ≥ 0.5 up to the next whole number. Example: 4.56 = 5.
  • Round Half Down – rounds values ≤ 0.5 down to the whole number. Example 4.48 = 4.
  • Round Up – rounds any decimal up to the next whole number. Example: 4.17 = 5.
  • Round Down – rounds any decimal down to the whole number. Example: 4.87 = 4.

Thousand Separator option

Click on the image245.png icon if you want to turn off the option that adds a thousand separator to the numeric values. Example: 1,000 (on) or 1000 (off).

Bracket Negatives option

Click on the image246.png icon if you want to turn on the option that encloses negative values in brackets. Example: -563 (off) or [563] (on).

Show Field option

Click on the image245.png icon if you want to hide the field so that it is not visible in the report.

If you hide a column of data, data is not re-grouped, which may result in two or more records for the same category of data, but different values. Example: A report shows the number of contracts by city and state. If you hide the City column, the report may show several records with the same state, but different contract number totals.

Suppress Duplicates option

Click on the image246.png icon if you want to turn on the option that removes duplicate values from a column and groups the values under a single value.

Click on the image186.png icon to close the window and apply the formatting to the column display.

If you want to change the default sort order from None, select Ascending (0-9) or Descending (9-0).

Click the expand icon image227.png to display the formatting options for the numeric values in the column.

Font Style options

If you want to change the default style from 12-point black Arial text, click on Custom to display fields that will allow you to change the font type, size, and color of the numbers in the report. You can also add emphasis using the Bold, Italics, and Underline buttons.

Alignment options

If you want to change the default alignment of numeric values in the field from Right-Justified, click on the Centered icon or the Left-Justified icon.

Background color options

If you want to add a background color to the numeric values in the field, click on the image249.png icon to display a color palette that allows you to select the color that will be applied to the entire column.

Column Width field

If you want to set the width of the column containing the numeric values, enter a value into the field.

If you leave the field blank, the program will use the Wrap Text option to display the number on an additional line in the report.

Maximum Length field

If you want to limit the numeric characters that display in the fields in the column, enter a value into the field.

If a number exceeds the limit, it will be truncated.

Wrap Text option

If you want to change the default display of numbers from word-wrap, click on the image245.png icon to disable this option.

Disabling this option will truncate a number if it exceeds the maximum length you assign to the field, or the program will truncate the number based on system parameters.

Close & Apply icon

Click on the image186.png icon to close the window and apply the formatting to the column data.

Borders category

Click the expand icon image227.png to display the formatting options for the column border.

Position check boxes

If you want to enclose each field in the column in a border, select all four check boxes (Left, Right, Top, and Bottom). You can also select any other combination of check boxes for the border.

The default selection is the Bottom border only for each cell in the column.

Color options

Click on the image251.png icon to display a color palette that allows you to select the color of the cell borders.

Width list

If you want to change the cell borders from the default option (Thin), select Medium or Thick.

Close & Apply icon

Click on the image186.png icon to close the window and apply the formatting to the column borders.

Total Aggregation radio buttons

If you want to aggregate the numeric values in the column, change the default selection of None to one of the following options:

  • Sum – total of all values returned in the column.
  • Average – averaged value of the values returned in the column.
  • Count – total number of values in a column.
  • Count Distinct – total number of unique values in a column.

Sub Total option

Click on the image246.png icon if you want to turn on the option that displays a subtotal for each unique value in the column.

Close & Apply icon

Click on the image186.png icon to close the window and apply the formatting to the column summary.
