Integrating Novatus and Salesforce

Once you have installed SalesConnect, you must integrate Novatus and Salesforce so that contract requests submitted from Salesforce can be reviewed in Novatus.  During the integration process, it is recommended that you log in to Novatus in your browser, and then open a second tab in the browser and log in to Salesforce so that both programs are running simultaneously.

Prior to establishing the integration:

Once the integration is completed, you can add the contract request types that salespeople will use, and customize the program screens that capture contract request information and account data in Salesforce.

1.   Click Admin in the Navigation Toolbar, and click the System Settings link.

2.   In the System Settings screen, click the Integration Settings tab.

3.   In the Integration Settings screen, click the Salesforce Settings tab.

If your Novatus environment is not integrated with Docusign (or Adobe Sign) or BidSync, the Salesforce Settings screen will automatically display. 

4.   In the Salesforce Settings view, click New in the toolbar.

5.   Provide the required information in the Salesforce Integration Settings section:

  • In the Integration Name field, enter a name for the integration.
  • In the Default Request Type list, select the Novatus request type that should be used to create the contract document when a Salesforce contract request is approved. 
  • In the Default Document Type list, select the document type that should be assigned to all documents attached to contract requests submitted from Salesforce.
  • (Optional) Select the Sandbox check box to establish a Salesforce test environment for Novatus. When you log in to Salesforce, the Login In button displays as Log In To Sandbox.

6.   In the Salesforce Integration Status section, click Icon CTS.png.

7.   After receiving the Configuration Complete message, which displays in a separate browser window, return to the Salesforce Settings screen.  

Mapping Contract Types and Request Types

Initial mapping between Novatus and Salesforce involves mapping the Salesforce contract type to the Novatus Request Type and Contract Type.

1.  From the Map Salesforce Contract Types... section of the Salesforce Settings screen:

  • Map the Salesforce contract type to the Novatus request type and contract type.  
    • Click Add Mapping in the toolbar to display a blank mapping record.
      • In the Salesforce Contract Type list, select the Novatus contract type that was created in Salesforce, and needs to be mapped to a Novatus request type/contract type. 
      • In the Novatus Request Type list, select the contract request type that corresponds to the selection made in the Salesforce Contract Type field.
      • In the Novatus Contract Type list, select the contract type that corresponds to the selection made in the Salesforce Contract Type field.
  • Map the fields in the Salesforce program screen to fields in a Novatus program screen using the Icon Edit.png icon.  Mapping is performed so that when a Salesforce user makes a contract request, and the request is approved, the mapped information in the request is used to populate the fields in the Company and Contract Profiles that are created in Novatus.

2.   (Optional) Add another mapping record if there is another Novatus Contract Type in Salesforce that can be mapped to the Default Request Type and Default Document Type identified in the Salesforce Integration Settings section.   

3.  Click Save.

4.  (Optional) From Salesforce, verify the connection between the mapped contract types/request type.

  • In the Dashboard, change the view from Sales to Novatus.
  • In the Dashboard, click the Novatus Contract Types tab.
  • In the Novatus Contract Types screen, locate the Contract Type and verify its Status field displays Synced.
