Migrating Data

When a customer runs an "instance" of Novatus Contracts on their server, their System Administrator must synchronize their version of Novatus Contracts with the current version of the software whenever Novatus makes a major upgrade to the software, which usually occurs every 3-4 months.

Exporting and Importing System Data

Prior to synchronizing Novatus software, the System Administrator must export the data added to their Novatus  environment (e.g., dynamic forms, workflow templates, and list items) since synchronizing the software results in the loss of this added data. Once the customer's Novatus Contracts environment has successfully been upgraded to the new release, the System Administrator must then re-import the data they exported.

The export and import of data is accomplished from the Migration screen in Novatus Contracts.

Exporting Data

Data export must be performed prior to the synchronization of your software with the software currently running on the URL for Novatus Contracts (https://app1.novatuscontracts.com/Contracts/).

Navigation Toolbar

Click on Admin to display a menu, and select System Settings to display the System Settings screen.

Note: If the System Settings link is not present, you do not have permission to change the system settings in Novatus Contracts.

Migration tab

Click on the tab to display the Migration screen.

Object Categories

View the categories of data that can be exported, including dynamic forms (Company, Contract, and Project), workflow templates, and list selections for both system lists and any additional field lists.

Object check boxes

Select the check boxes for all the field lists, dynamic form fields, and workflow templates in your environment that have been added or changed since the last export-import was performed.

Export button

Click to display a window that will allow you to export the selected data.

Opening data.export window

Ensure the Save File option is selected.

OK button

Select to display a File Save window.

File name field

Change the default name (i.e., data) for the file, if desired.

Folder location

Navigate to the location on your PC where you want to store the export file.

Save button

Select to save the data export file in the selected location. The file type for the saved file is export.

Importing Data

The import of exported data is performed after the synchronization of your Novatus software with the most recent version of Novatus Contracts.

Click to display an Import Migration Data prompt.

Click to display a File Upload window.

Folder location

Navigate to the location on your PC where you stored the data export file.

Data export file

Locate the data export file, and click on it to select it. The name of the file displays in the File name field.

Open button

Click to open the file in the Import Migration Data prompt and close the File Upload window. The name of the data export file appears in the File field in the prompt.

OK button

Click to upload the exported data back into your Novatus Contracts environment.
