Components of a Flow Template

The components of a contract flow template include the drawing grid, flow steps (Action, Approval, Logic, and System), connection lines, flow stages, filters, and the Properties window for a flow step.

A

Flow Template Name and Description fields

Provide a descriptive name for the flow template and a concise description to distinguish it from other flow templates.

Grid

View the grid, or working area, for the flow. The grid contains both vertical and horizontal rulers to assist you in correctly aligning the steps in the flow.

Action, Approval, Logic, and System steps

Review the list of steps that can be added to the flow template. These steps include Action steps (Communication, Complete Workflow, Creation Template, Generic, and eSignature), an Approval step, and Logic steps (End Flow, End Stage, Or, and Query Binary Branch). System steps (Automatic Notification, Query Matching, and Update) are those steps that are automatically completed by Novatus when a condition in the flow is met.

  • To add a step to the drawing grid, click on it in the Actions section, and then drag-and-drop it into the grid.
  • To change the location of any step, click on it, and then drag-and-drop it to another location in the grid.

Start step

The step auto-displays in the grid for every stage and identifies the beginning point of the flow.

Connection lines

Lines are used to connect the Start, Action, Approval, Logic, System, and End Stage/End Flow steps.

  • To connect two steps, click in a bottom connector Icon Green Hollow.png of the first step, drag the cursor in the direction of the second step, and release the cursor on the top connector Icon Green Filled.png of the second step.
  • To remove a connection line, simply click on it.
  • To move a connection line, click on it, and then drag-and-drop the line to the desired location.

  A connection line contains an arrow, which indicates the direction of the flow.

Properties window

Click Icon Properties for a step to display its Properties window, where you can:

  • Name the step, provide a description of the step, and add notes for the user (General tab).
  • Assign the step to a specific user, any user, or to a user who holds a specific function or responsibility in Novatus (Assignee tab).
  • Set restrictions to limit the activation of the step based on the populated fields in the Contract Profile (Restrictions tab).
  • Define the condition(s) that the step must meet before Novatus moves the flow to the next step (Step Configuration tab - not shown).

  The Properties window can be re-sized and moved onscreen.

End Flow or End Stage step

  • If there is only one stage in the flow, add the End Flow step to the grid, and connect it to the last step in the stage.
  • If there will be more than more than one stage in the flow, add the End Stage step to the grid, and connect it to the last step in the stage. In the last stage of the flow, connect the End Stage step to the End Flow step.
H Add Stage  Click to add a stage to the flow template.
I Rename Stage Click on the stage to select it, click Rename Stage in the toolbar, and follow the onscreen prompts.
J Flow Filter

Click to add a filter to the entire flow. 

  The Restrictions tab in the Properties window for a step is used to apply a filter to an individual step.

K Save Flow Template Click to add a flow template or save changes made to the template without publishing it.
L Publish Template Click to save and publish the template.  You may need to reorder the template to control the order in which it is applied to a Profile.
