Filtering a Contract Flow Template

A filter can be applied to a contract flow template before it is published (activated), as well as after it is published. If a contract flow template is published without a filter, the Novatus system automatically runs the flow in all the new Contract Profiles that meet the criteria (restrictions) defined in the flow template steps. If a filter is also applied to a flow template, the flow only runs in new Contract Profiles that meet the criteria defined in the flow steps, as well as the criteria established by the filter. A filter also restricts the templates that are listed as options when a user with the Flow Admin permission applies a contract flow to an existing Contract Profile.

A contract flow template filter can be based on any field in the Contract Profile, including a default system field and/or any of the additional fields that have been added by Administrators.



Navigation Toolbar

Click on Admin to display the menu, and click on Contract Flow Templates to display the Published Contract Flow Templates screen.

Note: If the Contract Flow Templates link is not present, you do not have permission  to use this feature.

B Contract Flow Template record

Locate the contract flow template that needs the filter, and double-click on it to display its Flow Design Panel screen.

Note: You can apply a filter to any flow in the Published Flow Templates screen. However, when you apply a filter to an active published contract flow template, a copy of the flow displays in the Flow Template Drafts section of the screen, and you must re-publish the template in order for the filter to be applied

Contract list

Click on the list arrow to display the Contract folder, and then display the contents of the folder by clicking on the icon.

Note: If you want to use a company field as a filter, click on the Company folder to display a list of available fields.


Contract Field list

Make a selection in the list based on how you want to restrict the Contract Profiles that can use the template. In this example, we are restricting the agreement type that can be used with the contract flow template, so click on Agreement Type to select it.


Contract Inclusion list

Click on the list arrow to display the options, and select "In" to define the agreement type(s) you intend to select in the Contract Value list. The other options are Not In, Is Null, and Is Not Null.

Note: If the selection in the Contract Field list is a value, the options are Equals, Greater Than and Less Than.

Important: If the selection in the Contract Field list is a date, the options are Before, On, After, Null, Not Null, and four options that allow you to pinpoint a specific date (After: today minus (x) days, After: today plus (x) days, Before: today minus (x) days, and Before: today plus (x) days). For example, if today is January 1, 2016 and you want to search for contracts that expire prior to January 1, 2017, you would select After: today plus (x) days and enter 364 in the Parameter Value field since there are 365 days in a year. Similarly, if you wanted to search for contracts that expired last year, you would select Before: today minus (x) days and enter 365 in the Parameter Value field. To designate today's date, select After: today minus (x) days and make x =1. To designate tomorrow's date, select Before: today plus (x) days and make x = 2.

Select the value(s) for the filter.

In this example, we select Individual and Master to restrict the contract flow to new contracts with either of these agreement types.


Note: If the selection you make in the Contract list is a date or number, you will be required to enter a date or number.

Important: If the selection you want is not listed, add the new selection via the List Administration screen.


Save button

Click to save the criteria for the filter.


Save Flow Template button

Click to add the filter to the contract flow template.
