People lists include the functions that program users, company contacts, and external participants can be assigned so that they can perform tasks in Novatus. A Person Field is related to people lists since it can be added to an additional form, or as an additional field in a Company, Contract, or Project Profile screen.
The Functions list, which is a required field, identifies the functions that users, company contacts, and external participants can serve in Novatus. Functions include the responsibilities associated with creating, negotiating, and finalizing a contract, as well as the responsibility for completing and/or approving flow and workflow steps. Functions are also used to identify the points of contact at a company, as well as the external parties, who can participate in contract creation, negotiation, and the eSignature process.
The Functions list is available to Administrators and program users from different locations in Novatus:
- User Profile screen - Administrators assign functions to individual users.
- People screen in a Company Profile - Users assign functions to company contacts.
- Person Browse screen - From their My Place menu, users add external participants and company contacts.
The Person Field is a system-generated list that replaces a function with the names of the Novatus users who can perform the selected function whenever an Administrator adds the field to the default Contract, Company, or Project Profile screen as an additional field, or to an additional Company, Contract, or Project form.Managing the list of functions is accomplished from the List Administration screen where Administrators can perform the following tasks associated with the Functions list:
