Editing, Disabling, and Deleting Items in a Linked Field

An item in a Linked Multi-select Field (or a Linked Combo Field) can be edited by making updates to the items in the combo list and/or the items in the linked field. Both a linked field item, and a combo list item, can also be disabled temporarily, or permanently deleted if it is no longer needed or used.

In the example below, the Combo List (i.e., Milestone) is linked to a Multi-select Field (i.e., Milestone Completed By).

Navigation Toolbar

Click on Admin to display a menu of your administrator functions, and click on Lists to display the List Administration screen.

Note: If the Lists link is not in your Admin menu, you do not have the permissions to use this feature.

Note: The screen displays an alphabetical listing of categories (Company, Contract, Address, Clause, Document, Global Translation, People, Project, Relationship, and Workflow). Dynamic forms and additional fields are also listed alphabetically as categories.

Dynamic Form

Locate the dynamic form containing the linked field list whose item selections you want to edit, disable, or delete.

Note: The Search option is designed to locate lists, and not categories. Therefore, you can only locate a dynamic form (and all its field lists) using the Search option if the name of the form (e.g., Contract Milestones) was used in the names of all the lists (e.g., Milestone Name and Milestone Completed By). If the names of the lists in a dynamic form are different from each other, and also different than the name of the dynamic form itself, it is recommended that you scroll through the alphabetized list to locate a dynamic form and all of its field lists.

Linked field

Locate the linked multi-select field (or linked combo field) that is associated with the combo list, and click on it (e.g., Milestone Completed By) to display the list hierarchy. It is recommended that you also view the items in the combo list (e.g., Milestone) to ensure the items match those in the linked field.

Excel button

Click if the list of selections is lengthy, and you want to view the list in an Excel spreadsheet. The Excel application launches and displays a spreadsheet with an easy-to-view listing of all list items.

Linked Hierarchy

If you want to edit, disable, or delete the top level hierarchy for a linked field item, you must do so from the combo list (e.g., Milestone). See "Editing, Disabling, and Deleting Combo List Items" below.

Linked Field Item

If you want to change the name of a linked field item, locate the linked hierarchy containing the field item, and click on its icon to display all the items. Locate the linked field item you want to edit, click on it to make it editable, and type over the existing text.

Disabled check box

If you want to make a linked field item temporarily unavailable, click inside its check box.

Add/Delete pop-up menu

If you want to delete a linked field item, locate the linked hierarchy containing the field item, and click on its icon to display all the items. Locate the linked field item you want to delete, right-click on its Folder icon to display a pop-up menu, and select the Delete option.

Save button

Click to edit, disable, or delete an item in a linked field list.

Click if the list is lengthy, and you want to view it in an Excel spreadsheet. The Excel application launches and displays an easy-to-view listing of all the selections for the field list.

Combo List Item

  • If you want to change the name of a list item, click inside its Name field to make it editable, and then type over the existing text.
  • If you want to change the description of a list item, click inside its Description field to make it editable, and then type over the existing text.

If you want to make a list item temporarily unavailable, click inside its check box.

Delete button

If you want to delete a list item, click on its icon to display a confirmation prompt, and then select the Yes option in the prompt.

Save button

Click to edit, disable, or delete an item in a combo list.
