Add a Salesforce Opportunity

An opportunity in Salesforce typically originates with one of your existing customers, such a referral to one of their subsidiaries or partner companies. Salesforce allows you to store, manage, and quickly access information on each of your  opportunities, making you a more effective salesperson by helping you track and follow-up with promising opportunities and ultimately close the deal.

The difference between an opportunity and an account is that an opportunity is a lead or referral that comes from one of your company's existing customers whereas an account is a new customer prospect. If a prospect is not a referral from an existing account, add the prospect as an account, rather than an opportunity.

An opportunity is added from the Dashboard once you login to Salesforce.

A Create New list Click on the list arrow , and select Opportunity in the list.
To quickly add an opportunity and populate only the required fields, click on the Opportunities tab in the Dashboard. A Quick Create section displays in the left Navigation Toolbar, below the Recycle Bin.

You must populate all the required fields (a required field contains a red bar  to the left of the field).
B Opportunity Name field Enter the name for the opportunity.
C Account Name list Click on the Look-up  icon to display a window listing the accounts that you have added to Salesforce. Click on the appropriate account name in the list to select it and populate the field. You can also search for an account by entering a few letters of the account name in the Search field and clicking the Go! button.
Important: An opportunity must be linked to an existing account.
D Close Date field Click in the field to display a pop-up calendar, and use it to select the date on which you want to close this opportunity. This date affords you a timeframe for turning this opportunity into an account.
Note: A current date link displays to the right of the field. If you click on the link, the field is automatically populated with the current date
E Stage list Make a selection in the list that best describes your current stage in pursuing the opportunity (e.g., Prospecting, Qualification, Needs Analysis, Value Proposition, ID Decision Makers, Perception / Analysis, Proposal / Price Quote, Negotiation / Review, Closed Won, and Closed Lost).
Note: The option selected in this field automatically populates the Probability (%) field, located directly below the Stage list. An opportunity must be at the Proposal/Price Quote stage (with a probability of 75%), before a contract request can be submitted for the opportunity.
F Optional fields

Populate the optional fields for which you have the information.

  • Type list - make a selection in the list to identify the business type. The options are Existing Business and New Business.
  • Amount field - entered the estimated amount of a deal with the opportunity.
  • Lead Source list - select the type of lead that led to pursuing this opportunity.
  • Next Step field - enter the next step in pursuing this opportunity.
  • Description field - enter a comprehensive description for the opportunity.
F Save button Click to add the opportunity.
Note: Use the Save & New button to save the current opportunity and display a screen that will allow you to add another opportunity.

The screen refreshes and displays several categories for which you can provide additional information for the opportunity, as well as create tasks, schedule events, send email messages, and upload file attachments. You can also edit information for the opportunity from this screen.

H Opportunity data The information you provided for the opportunity displays in the Opportunity Detail and Additional Information categories. Review the other categories for which you can provide information for the opportunity, if available.
I Open Activities category
  • To add a task related to the opportunity, click the New Task button to display a screen that allows you to add a task for the opportunity, and assign yourself or another person the responsibility of completing the task. You can also set a due date for the task to be completed and schedule a reminder for the person assigned to complete the task.
  • To schedule an event for the opportunity, click the New Event button to display a screen that allows you to schedule an event, as well as invite others to attend the event, and attach a file to the message that is sent to those invited.
J Activity History category
  • To log a call for the opportunity, click the Log a Call button to display a screen that allows you to provide comments on a phone conversation, and add a follow-up task based on that conversation. The follow-up task appears in the Open Activities category.
  • To send an email message regarding the opportunity, click the Send an Email button to display a screen that allows you to send an email message and select the recipients for the message.
K Contact Roles category To add a contact person for the opportunity, click the New button to display a screen that allows you to add a contact for the opportunity, assign a role to the contact person (e.g., Decision Maker), and identify the primary contact person for the opportunity.
L Partners category To add a partner for the opportunity, click the New button to display a screen that allows you to add a partner for the opportunity. Partners are the companies with which you collaborate to close your sales deals.
M Competitors category To identify a competitor for the opportunity's business, click the New button to display a screen that allows you to enter information for a competitor, as well as identify their strengths and weaknesses.
N Products category To identify a product produced by (or associated with) the opportunity, click the Add Product button to display a screen that allows you to search for a product using filters, and then add the product to the opportunity record.
O Notes &  Attachments category
  • To add a note for an opportunity, click the New Note button to display a screen that allows you to create and save a note in order to capture information or comments about the opportunity. You can make the note private so that only you (and your Salesforce Administrator) can view it.
  • To attach a document or other type of file to the opportunity record, click on the Attach File button to display a screen with instructions for uploading a file.
P Stage History category Review the current stage of the opportunity. As the opportunity goes through different stages, additional information is displayed.
