Setup and Configuration

Configuration

Install the package using the link provided by Orchestrate LLC and follow the configuration instructions below.

  1. Give the appropriate Profiles/Permission sets permission to use Mix
    1. Setup->Manage Apps->Connected Apps->Click on Orchestrate Mix
    2. Click “Edit Policies” and change the “Permitted Users” option to “Admin approved users are pre-authorized”.  Click OK to accept the security warning (you will satisfy the warning by completing steps d-f).
    3. Click Save
    4. Scroll down the page and click Manage Profiles or Manage Permission Sets (which one you choose is determined by how you want to manage access to Mix)
    5. Choose the Profile(s) or Permission Set(s) that should have access to Mix
    6. Click Save
  2. Assign licenses to specific users  (See this Salesforce Knowledge article for more detailed information.)
    1. Navigate to Installed Packages in Setup and select Mix.
    2. Setup -> Installed Packages -> Mix
    3. Select the “Manage Licenses” button.
    4. Select “Add Users”.
    5. Use the list views or create a new one to select all the necessary users that need access to Mix.

      You can also add a single user from the user’s detail page.

  3. Add files related list to the task page layout
    1. Setup -> Customize -> Activities -> Task Page Layouts -> (Current page layout used by the org)
    2. Select the Related Lists option in the bank of buttons and drag Files into the Related Lists section of the page layout
    3. Click Save
  4. Configure Page Layouts
    1. Navigate to the Mix Settings and Integration Credentials tab. For more information on this page, check out the Mix Settings Overview page.
    2. Check the boxes for each account and contact layout that need a Document Merge ButtonDocument Merge Quick Action, or Merge Targets Related List.                
    3. Check the Remove All Buttons From Merge History and Add Mass Document Merge button on list views checkboxes to remove the buttons from the merge history record and allow mass document merges to be executed from list views.
    4. (Optional) To allow document merges for custom objects, click the Add/Remove button. Move the objects from the left list to the right list to allow creation of merge templates using those objects.
  5. Assign Permissions Sets to appropriate users (“Merge User” for end users and “Merge User with Authentication” for administrators of Mix)
    1. In Setup, use the Quick Find and type Permission Sets.
    2. Select Permission Sets.
    3. Select the Merge User permission set.
    4. Select the Manage Assignments button.
    5. Select the Add Assignments button.
    6. Select the checkbox next to all users you desire to add to this permission set and select the Assign button.
    7. Select Done.
    8. Repeat these steps for the Merge User with Authentication permission set.
  6. Optional: Add the Merge Histories and Merge Templates tabs to the App assigned to the desired profiles
    1. (Setup -> Create -> Apps -> click the name of an App -> Edit)
  7. Optional:  If you would like to merge data from custom objects please follow the directions below.
    1. Go to the Mix Settings and Integration Credentials tab
    2. Select the object names in the Available Objects dual picklist and move them over to the Selected Objects list
    3. Click Save
    4. The object should show up on the Merge Template builder page.
    5. Create a custom Document Merge button for use on your custom object detail page.
      1. Navigate to the Buttons, Links, and Actions area of your custom object
      2. Click New Button or Link
      3. Label the button Document Merge
      4. Select Detail Page Button
      5. Set Behavior to Display in existing window with sidebar
      6. In the box enter the following URL /apex/OrchMM__MergeClassic?id={!CASESAFEID(Account.Id)}, replace the Account.Id (entire yellow highlighted text) field with the Id field on your custom object
      7. Click Save
      8. Add the button to the necessary page layouts on your custom object
    6. Ensure that your custom object is set to Track Activities

 

Mix uses Salesforce Files rather than the traditional Attachments. We recommend switching to Files from Attachments for your entire org by setting it in preferences. See this help article for more details.
