Formatting a Value Field in an Analysis

Formatting can be applied to the three primary field types used in an analysis: value, date, and text.  All field types can be formatted by changing the default alignment of the data in the field, and applying expanded spaces to auto-size the width of the field to accommodate the data. 

A value field has several other formatting options, including being be displayed as currency, a number with decimals, or a percentage.  A True/False option can be applied where a zero value displays as False and any other value displays as True. A value field can also be color-coded to identify similar values using an adjustable red-green scale.  In-cell bar gauges can be substituted for field values to effectively communicate differences among values.

1.  Click Reports in the Navigation Toolbar, and select the BI Toolbox link in the menu.

2.  In the Home screen, locate the analysis whose field you want to format, and click its link.

3.  In the Analysis screen, locate the value field in the Table section of the screen.

4.  Click on the field header, and click Format in the menu to display a secondary menu.

5.  Format the field by clicking an option specific to values:

  • ###,###,##0.00 - displays 250M as 250,000,000.00 (with a thousands separator and two decimal places).
  • $###,###,##0.00 - displays the value as $250,000,000 (with a currency sign, a thousands separator, and two decimal places).
  • Percent - displays the value multiplied by 100 and appended with a percent sign (%).
  • True/False - replaces a zero (0) value in a field with False, and any other value with True.
  • Bar Gauges - replaces the value with a horizontal bar gauge. Hover over the graph to display a tooltip with the value.
  • Cell Colors - adds a system-generated background color to the field so that fields with the same value have the same color.  Control the color range by dragging the Cell Color Slider in the column header.

Click No Format to return the field to the default format.  Click an Align option to control the position of the value in a field, and click Expanded Spaces to resize the field to accommodate the value.

   You do not need to save the file to retain the changes you make by formatting data.
