You need the BI Tool permission to create a visual analysis of the data stored in Conga Contracts (formerly Novatus). A visual analysis is typically created by selecting two or more data sets, which are joined to produce a single data set using individual fields. The fields selected in each data set are available for use in creating a table or a chart that visually represents the relationship between key data. During the creation process, both a chart and table showing the same data can be saved to the Visual Gallery for use in creating an Analytics Report or a BI Dashboard.
While the data fields you select to create a chart are limited, the chart can be drilled to show alternative views of the data. Similarly, a standard table displays data for two related fields while a cross-tabulation table allows data for three related fields to be displayed and analyzed.
A visual analysis is created showing the number of contracts that have a value of $500, grouped by contract type, in a bar chart. A line chart showing the same data is also provided.
1. Click Reports in the Navigation Toolbar, and select the BI Toolbox link in the menu.
2. In the Home screen, click , located in the upper left of the screen.
3. In the Discovery screen, select the data sets to be analyzed:
- Select Company in the first Select Data list to include all companies in the analysis.
- When the data fields display, clear the All check box to clear all the fields, and then click the Company Name check box since this is the only field in the Company Profile screen needed to identify the company who is a party to the contract.
- Select Company - Contract in the second Select Data list to include all contracts.
- Clear the All check box to clear all the fields, and then click the Contract Value and Contract Type check boxes to identify the fields in the Contract Profile screen needed for the visual analysis. Click the following check boxes to add supporting contract data: Agreement Type, Contract Number, Original Expiration Date, and Current Expiration Date.
4. Click .
5. Click to collapse the data portion of the screen.
- Click to redisplay the data fields.
6. In the Query Builder section of the screen, identify the four types of fields used in a visual analysis, which are differentiated by a color-coded tick located in the top left corner of the field header:
- Text - Blue tick
- Date - Gold tick
- Value - Green tick
- Check Box - Purple tick
A visual analysis that uses two fields typically contains one of the following combinations: (1) text field and date field (2) text field and value field, or (3) date field and value field.
7. Apply a filter to the Contract Value field to establish the $500 criteria:
- Click the icon in the Contract Value field.
- In the Contract Value window, click + New Filter.
- In the Contract Value prompt:
- Select Greater or equals in the list.
- Enter 500 in the field.
- Click Apply.
- Click to close the Filters window.
8. (Optional) Hide fields so that it is easier to connect the fields needed for the chart or table. Click the icon, located under the button, and select Show/Hide Columns in the menu. In the Show/Hide Columns window, click on a field to hide it, or click on a hidden (grayed-out) field to show it. Click to close the window.
9. Connect two fields to create a visual analysis, taking into account the first field you select will have its information displayed along the Y-axis (vertical) and the second field will have its information displayed along the X-axis (horizontal):
- Click on the Contract Value header, and holding down your mouse, drag the cursor to the Contract Type header, and release. A blue arc displays between the fields, indicating they are connected.
- To use only one field in the analysis, click on the field's header, and then drag-and-drop it into the area labeled Drop Columns or Connect them to Build Visualizations.
- Review the recommended display of your data analysis in the Visualization section.
10. (Optional) Click to display other chart types for the visual analysis:
- Click on a category, such as Tables, Circles, Bars, Lines (shown below), Scatter or Custom.
- Click the expand icon to see the options in a chart category.
- Click on a chart type to update the visual display.
11. Click Add to Gallery to save the visual analysis in the Visual Gallery.
- In the Add Panel prompt:
- Edit the name of the visual analysis, if needed, in the Panel Title field.
- Provide a description in the Panel Description field.
- Click Add Panel.
12. Click Save.
- When the prompt displays:
- Provide a name for the visual analysis in the Name field.
- Click Save.
