BI Toolbox Visual Analyses - Discovery Screen

The Discovery screen in the BI Toolbox is used to create and manage a visual analysis, which is the building block that is typically used to set up a BI Dashboard.  A visual analysis can also be used to create an Analytics Report that is shared with other users and scheduled for distribution. 

A visual analysis consists of two components: (1) user-selected hierarchy of data sets, including key fields in Conga Contracts (formerly Novatus) program screens to be analyzed, and (2) table that displays the data stored in the selected fields. A chart is typically added to the analysis to emphasize a trend in a data set over time or with respect to a monetary value.  A chart can also be used to visually display the relationship between two or more elements of a data set. 

The Discovery screen is divided into two sections: Data Analysis lists where Conga Contracts (formerly Novatus) data sets and fields are selected for analysis and Query Builder where charts (or tables) are created to highlight and communicate trends and relationships.

To access the Discovery screen, click Reports in the Navigation Toolbar and select the BI Toolbox link in the menu.

Data Analysis Lists View

The visual analysis in the screen shot below is seeking to identify the value of the contracts that were signed in 2010 and also identify the companies with whom the contracts were signed. Company is the first data set selected to ensure this information is displayed first in the results table.  The Company Name and Company Number fields are selected since these are the only fields needed to associate a company with a final contract. Company - Contract is the second data set selected to identify the Contract Profile where the signed document is stored.  Key fields are selected to identify the contract, including its Contract Number, as well as other fields that provide information on the signed document, such as its value, effective date, expiration date, and term type. Contract - Document is the third data set selected, and the Document Type field in the Document Profile screen must be included to locate only final documents. Other document fields can be selected to provide additional information, such as Document Revision Number to identify how many versions of the document were created prior to the final version.

Select Data lists

Use the lists to identify the data sets you want to include in your visual analysis, taking into account it can be used as a building block for creating a BI Dashboard or an Analytics Report.

C Field check boxes
  • Clear the All check box for a data set to clear all the selected check boxes, unless you want to make all the fields available for the visual analysis.
  • Select only the check boxes for the fields that should be included in the visual analysis.

You will be able to apply filters to any of the selected fields.

OK button

Click Icon BIOK.png to run the data analysis and display the selected fields in the Query Builder.

E Collapse Data Section button Click Icon VA1.png to collapse the data section of the screen, and fully display the Query Builder.

The visual analysis in the screen shot below requires filters for two fields: (1) Document Type where the filter states the document type must contain the word Final, and (2) Effective Date where the filter states the contract's effective date must fall between 1/1/2010 and 12/31/2010. The two fields that will be used to express the desired visualization are Company Name (Y-axis) and Contract Value (X-axis) and are shown in the Visual Analysis Chart.

Visual Analysis fields

Verify the selected fields for the analysis contain data.

  • To increase the viewing area of the fields, hover over the separator bar Icon BI Separator.png until the resize Icon Resize window4.gif icon displays, and then click it and drag it upwards.

If no data displays, the visual analysis is not valid and you need to change the categories, the order in which the categories are selected, or the fields selected in a category.

B Text field

Identify the fields that contain text, indicated by a blue tick mark in the top left corner of the field header.

A check box is indicated by a purple tick mark.

C Date fields Identify the fields that contain a date, indicated by a gold tick mark in the top left corner of the field header.
D Value field Identify the fields that contain a value, indicated by a green tick mark in the top left corner of the field header.
E Table icon Click Icon BITableMenu.gif to display a Table Menu with options for the fields in the analysis.
F Add New Column option Click to add a blank column where a calculation can be added, such as calculating the number of days until a contract's expiration date.  
G Show/Hide Columns option Click to display a window where fields can be hidden/shown, allowing the focus to be placed on the fields that need to be filtered and those needed for the chart.
H CSV Export Click to export the fields and data displayed in the screen to an Excel spreadsheet.
I Sort icons Use the  Icon BISort.gif icons to sort the data in a column in ascending/descending order.
J Filter icon

Identify the fields that have a filter applied to them, indicated by the presence of the Icon BIFilter2.gif icon.

K

Field Properties icon Click Icon BIProperties.gif for a program field to display its Properties window.
L Field Properties window Use the options provided to filter the data in a field, add a calculation, group data in a field, format the display of data in a field, or apply colors to the chart created using the field.
M Filters button Click Icon FiltersButton.png to display a FILTERS window with a list of filters applied to the fields in the visualization.  Click Icon BIFilterClose.gif to remove a filter.  Edit a filter by hovering over the filter until Icon BIMoveSm2.gif displays, and then click the icon to display a prompt with the filter operator and value.
N Data icon

Click Icon VA3.gif to display the fields used in the visualization.

 If you add or remove any of the original fields used in the visualization, any chart created in the Query Builder will be removed.

 
Visual Analysis Chart

The two fields used to express the desired visual analysis are Company Name (Y-axis) and Contract Value (X-axis) and are shown in the screen shot below.  The visual analysis chart that depicts the value of contracts that were signed by customer companies in 2010.

Chart fields
  • Select the field(s) for the chart using one of the following methods:
    • Individual Field: Click on the field name, and then drag-and-drop it into the Drop Columns or Connect them to Build Visualizations section.
      • To add a second field, click on it, and then drag-and-drop it into the gray area (Y-axis) that displays along the left side of the chart.
    • Connected Fields: Click on the first field name, and drag your cursor to the second field, creating a blue arc, and then release your mouse. The first field selected will display along the vertical (Y) axis, and the connected field will display along the horizontal (X) axis.
B Chart field customizations       Click Icon BIProperties.gif for a chart field to customize its display in the chart, including adding a filter, formatting, and color.
C Chart field sorting Use the  Icon BISort.gif icons to sort the data in a chart field in ascending/descending order.
D Zoom option

Zoom in on a specific section of the chart:

  • Hover over a section until the Icon BIResize2.gif icon displays. 
  • Click the icon and drag it upwards or downwards to shade the desired section, and then release your mouse.
  • Click Icon BIUndo.png to undo the action.
E Explorer options

Click Icon Zoom.gif to display the EXPLORER with other viewing options for the chart:

  • Click Icon BISelection.gif to enable selection mode, where you can hover over a section, click the Icon BIResize2.gif icon when it displays, and drag it upwards or downwards to call out a section of the chart while graying-out the rest of the chart.
  • Click Icon Drill.gif to enable drill mode.
    • Click on a data section of the chart, such as a bar or pie section, to display a Drill-to prompt.
    • Click a field in the list to redisplay the chart using the data for the selected field.
    • Click the link that displays under the chart name to return to the default view of the chart.
  • Click Icon Image.gif to export the current display of the chart as an image.
F Chart icon

Click Icon BIChart.gif to display other chart types for your data analysis:

  • Click on a category, such as Tables, Circles, Bars, Lines, or Scatter.
  • Click the expand icon to see the display options for tables and circle/bar/line charts.
G Legend icon Click Icon BILegend.png to display the Visualizations Settings prompt that allows you to select the location of the legend in the chart or remove the legend.
H Trash icon Click Icon BITrash.gif to delete the chart from the Query Builder.
I Add To Gallery button Click to add the visualization to the Visual Gallery.
J Add Columns icon

Click Icon BI CrossTab.gif to display the Crosstab and Timeline options for a chart or table.

  • Click on a field not used in the chart/table, and then drag-and-drop it into the gray area below the CROSSTAB or TIMELINE heading.
K Save button Click to save the visualization to your Home page.
