Scheduling a Report

This page applies to: Conga Contracts (formerly Novatus)

A user with the Scheduled Reporting permission can set up a delivery schedule for a report so that it is automatically emailed to a list of recipients or to an entire distribution list. The scheduled report can be tailored to include specific information when being sent to external recipients, or a comprehensive report can be generated for Conga Contracts (formerly Novatus) users and administrators.  A scheduled report can be delivered once, or delivered on a daily, weekly, monthly, or yearly basis.

1.  Click Reports in the Navigation Toolbar, and click the Scheduled Reports link in the menu.

2.  In the Scheduled Reports screen, click the appropriate button:

  • New Scheduled Report to schedule a standard or advanced report.
  • New Scheduled Analytics Report to schedule an analytics report.

The Scheduled Analytics Reports section displays only if you are running the Analytics module.

3.   In the Scheduled Report Edit screen, populate the fields and lists:

  • User - select the user whose role(s) will be used to generate the report.

The amount and type of data in the report that is sent to recipients is based on the permissions of the role(s) the user has with respect to document types, company, contract, and project groups, and secure additional forms.

To schedule a report entitled Contracts Expiring in 90 Days, select a user who holds a role with access to all contract groups in order to generate a complete report of all expiring contracts, minus any that are removed by a filter defined in the report.  To schedule a report entitled Vendor Contracts Expiring in 90 Days, select a user who holds a role with access to only the Vendor contract group to generate (and deliver) a report showing only expiring vendor contracts, minus any that were filtered out. 

  • Report Name - select the report you want to schedule in the list, which includes the reports you have created and copied, as well as the global reports that other users have shared with you.
  • Scheduled Start Date - enter the first date you want the report emailed, or click  and use the calendar to select the date.
  • (Optional) Scheduled End Date - enter the last date you want the report emailed, or click  and use the calendar to select the date.
    • Leave the field blank for a report that is delivered once, or to schedule delivery of the report for an indefinite period of time.
  • Scheduled Frequency - select how often you want the report emailed: Single, Daily, Weekly, Monthly, or Yearly.
    • Selecting the Daily option displays the individual days of the week (Sun-Sat), allowing specific days to be selected.  The Frequency Interval field does not display when you select Daily or Single.
  • Frequency Interval - Enter the number of times you want the report to be emailed when you select Weekly, Monthly, or Yearly in the Scheduled Frequency list.

To deliver a report every week, select Weekly in the Scheduled Frequency list, and enter 1 in the Scheduled Frequency field. To deliver the report every two weeks, enter 2 in the field.  

  • Export Type - select the format for the report: PDF or XLS (Excel).
  • Notification List - click  to display the Address Book.
    • Click on the names of those you want to receive the report and/or click on an email distribution list.
      • To quickly locate a person or a distribution list, type the first few letters of the person's first or last name, or the name of the distribution list, in the Search field, and click Icon Magnifyer . To clear the filter, click Icon Search Clear.
    • Click Submit.
  • (Optional) Instructions - enter instructions or information for using the report.
  • Do Not Send Empty Report - select the check box to cancel delivery of the report whenever the report is empty (contains no data).
  • Click Save.
