Filtering Data in a BI Dashboard

An analysis or visual analysis that is added to a BI Dashboard can be filtered to focus on specific information contained in the chart or table. When a Dashboard contains more than one analysis or visual analysis, a global filter can be applied to all analyses/visual analyses.

A filtered analysis or visual analysis that has been shared with a user is available from their BI Toolbox portlet in the Conga Contracts Dashboard.  From the portlet, the user has tools to zoom in and drill down on the filtered data in the chart.

Filtering a Visualization

1.  Click Reports in the Navigation Toolbar, and select the BI Toolbox link in the menu.

2.  In the Home screen, locate the dashboard that needs the filter, and click its link.

 To add a filter to a shared dashboard, duplicate the dashboard and then edit the duplicate.

3.  In the screen named for the dashboard:

  • Locate the chart or table you want to filter, and click its Icon BIDashProp.png icon.
  • In the menu, select Filter.

4.  In the Edit dialog box, define the filter:

  • Filter Column - select the field to filter, such as Contract Value.

      The field selected as the filter must be one of the fields used in the analysis or visual analysis.  To check the fields used in a visual analysis, select Edit Visualization in the menu in Step 3.  The Edit Visualization option is not available for an analysis.

  • Comparison - select the operator for the filter, such as greater than or equal to (> =).
  • Value - enter the value for the filter, such as 10000 [dollars].
  • Click Add.
  • Click Icon BICloseGallery.png to close the dialog box.

To remove or update a filter, click its Icon BIFilter2.pngicon, located under the name of the analysis or visual analysis.  In the Edit dialog box, click Remove to remove the filter, or update the Filter Column, Comparison, and/or Value fields, and click Replace.

5.  (Optional) Rename the chart or table based on the filter applied:

  • Click Icon BIDashProp.png,  located to the right of the screen name, and select Rename in the menu.
  • In the prompt, type over the existing text, and click Save.

Setting a Global Filter

1.  Click Reports in the Navigation Toolbar, and select the BI Toolbox link in the menu.

2.  In the Home screen, locate the dashboard that needs the global filter, and click its link.

To add a filter to a shared dashboard, duplicate the dashboard and then edit the duplicate.

3.  In the screen named for the dashboard:

  • Locate the tab containing the chart or table you want to filter, and click its Icon BIDashProp.png icon.
  • In the menu, select Add Global Filters.

4.  In the Global Filter dialog box, define the filter:

  • Filter Column - select the field to filter, such as Company Name.

     The field selected as the filter must be one of the fields used in every analysis and visual analysis in the Dashboard.  To check the fields used in a visual analysis, select Edit Visualization in the menu that displays when you click its Icon BIDashProp.png icon, located in the top right-hand corner of the chart. The Edit Visualization option is not available for an analysis.

  • Comparison - select the operator for the filter, such as Contains.
  • Value - enter the value for the filter, such as XYZ [Corporation].
  • Click Add.
  • Click Icon BICloseGallery.png to close the dialog box.

To remove or update a global filter, click Icon BIFilter.png, located under the name of the tab. In the Global Filter dialog box, click Remove to remove the filter, or update the Filter Column, Comparison, and/or Value fields, and click Replace.

5.  (Optional) Rename the analysis/visual analysis based on the global filter applied:

  • Click Icon BIDashProp.png,  located to the right of the screen name, and select Rename in the menu.
  • In the prompt, type over the existing text, and click Save.
