BI Toolbox Report Screen

The Report screen in the BI Toolbox is used to create the Analytics Reports that are shared with other users and scheduled for distribution.  An Analytics Report can contain one or more analyses or visual analyses, displayed as tables of data and/or charts, which are designed to communicate the changing relationship between components of contract and/or company data.  

To access the Report screen, click Reports in the Navigation Toolbar and select the BI Toolbox link in the menu.

A

Author Report icon

Click Icon AuthorReport.gif to display the Untitled Report screen.

New Visual field Click Icon BI ReportInsert.gif and drag-and-drop the icon into the blank canvas to display the Visual Gallery.

Visual Gallery

Review the analyses and visual analyses that are available for the report.

An analysis is typically displayed as a table and used for Analytics Reports, while a visual analysis is typically displayed as a chart and used for Dashboards.

Visual Gallery filters
  • Enter a keyword or phrase in the Find field to filter the analyses.
  • In the Sort By list, select a different option to sort alphabetically or by the oldest analyses.
E Analyses and Visual Analyses

Locate the analysis or visual analysis you want to use for the report, and click its Icon BIVGAdd.png button.

Both an analysis and a visual analysis can consist of a table or a chart.

Delete From List button Click Icon BIDeleteList.png to remove an analysis or visual analysis from the Gallery.
G Close icon Click Icon BICloseGallery.png to close the Visual Gallery.

Once the analysis or visual analysis is added to Report screen, you can edit the analysis/visual analysis from the report, as well as add formatting to produce a professional report.

A Design tab Ensure the tab is selected to edit an analysis/visual analysis or add formatting.
B Tables and Charts Review the charts and/or tables added to the report.
C Reposition option Hover over the Icon BI Move2.png icon for a chart or table until the Icon BIMoveSm2.gif icon displays, click on it, and then drag-and-drop the chart/table to a new location in the report.

D

Report Name

Click Icon BIDashProp.gif and select Rename in the menu to provide/edit the report name.

  • In the prompt, type over the existing text, and click Save.

Select Duplicate in the menu to make a copy of the report.

E Edit icon

Click  Icon BIEdit2.gif for a chart or table to redispay the analysis or visual analysis in edit mode so that changes can be made.

  • Click Update to view the changes in the report.
  • Click the Design tab to return to formatting the report.
F Settings icon Click Icon BIDashProp.gif for a table or a chart to display a Settings window to add/edit formatting for the chart/table title.

Format the title for the chart or table:

  • Use the toolbar to bold, italicize, and align it.
  • Use the field containing the name of the chart/table to edit its name.
  • Append the title with a date and/or time stamp.
    • Make a selection in the Insert a Formula list, and click Insert.
  • Use the Font Size list to change the size of the title.
  • Click Icon BI Color.png in the Font Color field to change the color of the title:
    • Display the Color Picker prompt and click on a colored square to select it.
    • Click Icon BICloseGallery.png to close the prompt.
  • Use the Border Settings section to add a border to the title:
    • Make a selection in the Thickness list.
    • Click Icon BI Color.png in the Color field to change the color of the border.
    • Click an icon that reflects where you want the border to appear in relation to the title.  For example, the Icon BI Border.png icon encloses the title in a border.
  • Click Set.

To remove color from the title or border, click inside the field and backspace over the characters.

H Remove icon Click Icon BI Close.png to remove a table or chart from the report.
I Chart segments Hover over a segment of a chart to display a pop-up that clearly defines the data being represented.

J

EXPLORER options

Hover over the area under the Icon BIDashProp.gif for a visual analysis chart to display the Icon Zoom.gif icon, and then click on it to display the EXPLORER.

  • Click Icon Drill.gif to enable drill mode.
  • Click Icon Image.gif to export the current display of the chart as an image.

The only option for an analysis chart is the Get Image prompt that displays when you hover over the area under the chart's Icon BIDashProp.gif icon.  Click the prompt to export the chart as an image.

New Split Row field

Hover over the field until the Icon BIMoveSm2.gif icon displays, click on it, and then drag-and-drop the Icon BI Report1.png  field into the place in the report where you want to add a two-column row.

  • Drag another field into each column in the row to add New Text, or a New Image, New Link, or New PDF link.
  • Use the New Split Row icons to move, split, and delete the split row:
    • Click Icon BI Move2.png, and then drag-and-drop the row to a new location.
    • Click Icon BISplit.gif to split a column into two additional columns.
    • Click Icon BICloseVisual.gif to remove a column/split row.
L Add Space field

Hover over the field until the Icon BIMoveSm2.gif icon displays, click on it, and then drag-and-drop the Icon BI Report2.png  field into the place in the report where you want to add space.

  • Use the Add Space prompt to add up to 30 lines of space to the report and create a border around the added line(s):
    • Make a selection in the Number of Lines list.
    • Use the Border Settings section to add a border around the space(s):
      • Make a selection in the Thickness list.
      • Click Icon BI Color.png in the Color field to change the color of the border.
      • Click an icon that reflects where you want the border to appear in relation to the space.  For example, the Icon BI Border2.png icon puts a border along the top of the space.
    • Click Set.
  • Use the Add Space icons to edit, move, and and delete the space:
    • Click Icon Duplicate2.gif to display the Add Space prompt and update the spacing/border options.
    • Click Icon BI Move2.png, and then drag-and-drop the space to a new location.
    • Click Icon BICloseVisual.gif to remove space from the report.
M New Visual field

Hover over the field until the Icon BIMoveSm2.gif icon displays, click on it, and then drag-and-drop the Icon BI ReportInsert.gif  field into the place in the report where you want to add another chart or table.

N New Text field

Hover over the field until the Icon BIMoveSm2.gif icon displays, click on it, and then drag-and-drop the Icon BI Report3.png  field into the place in the report where you want to add text.

  • When the Settings window displays, use the fields to add the text, format it, and create a border around the text.  See Step G above.
  • Use the New Text icons to edit, move, and and delete the text:
    • Click Icon Duplicate2.gif to display the Settings window and update the text/border options.
    • Click Icon BI Move2.png, and then drag-and-drop the text to a new location.
    • Click Icon BICloseVisual.gif to remove the text.
O New Image field

Hover over the field until the Icon BIMoveSm2.gif icon displays, click on it, and then drag-and-drop the Icon BI Report4.png  field into the place in the report where you want to add an image. 

  • When the Settings window (Step P) displays, use the fields to add the image and control its display.
  • Use the New Image icons to edit, move, and and delete the image:
    • Click Icon Duplicate2.gif to display the Settings window and update the image/border options.
    • Click Icon BI Move2.png, and then drag-and-drop the image to a new location.
    • Click Icon BICloseVisual.gif to remove the image.
P Image Settings window

Select the image, define its size and alignment, and add a border:

  • Change the Original Size default by selecting the Fit to Size radio button to resize the image in the report.
  • Use the Image Alignment icons to center, right align, or left align the image.
  • Select an option to add the image to the report:
    • Upload the image:
      • Select the Upload image radio button.
      • Click Choose File.
      • In the Open window, navigate to the image, click on it to select it, and click Open.
    • Provide the URL when the image is located:
      • Select the Image URL radio button.
      • Enter the image's URL in the blank field.
    • Use a previously uploaded image:
      • Select the Choose uploaded radio button.
      • When the uploaded images display, click on an image to select it.
  • Use the Border Settings section to add a border to the image. See Step G above.
  • Click Set.
Q New Link field

Hover over the field until the Icon BIMoveSm2.gif icon displays, click on it, and then drag-and-drop the Icon BI Report5.png  field into the place in the report where you want to add a hyperlink. 

  • When the Settings window displays:
    • Enter the text you want displayed as the name of the link in the blank field.  For example, enter Click Here so this text displays rather than the link's URL.
    • Use the toolbar to bold, italicize, and align the name of the link.
    • Use the Font Size list to change the size of the link's name.
    • Click Icon BI Color.png in the Font Color field to change the color of the link's name:
      • Display the Color Picker prompt and click on a colored square to select it.
      • Click Icon BICloseGallery.png to close the prompt.
    • Enter the URL for the link in the URL field.
    • Change the default in the Target list from New Browser Tab to Same Browser Tab to display the link in the same browser window as the report.
    • Use the Border Settings section to add a border to the link:
      • Make a selection in the Thickness list.
      • Click Icon BI Color.png in the Color field to change the color of the border.
      • Click an icon that reflects where you want the border to appear in relation to the link.  For example, the Icon BI Border.png icon encloses the link in a border.
    • Use the New Link icons to edit, move, and and delete the link:
      • Click Icon Duplicate2.gif to display the Settings window and update the link/border options.
      • Click Icon BI Move2.png, and then drag-and-drop the link to a new location.
      • Click Icon BICloseVisual.gif to remove the link.
R New PDF Link field

Hover over the field until the Icon BIMoveSm2.gif icon displays, click on it, and then drag-and-drop the Icon BI Report6.png  field into the place in the report where you want to add a PDF link that allows users to download the report as a PDF file. 

  • When the Settings window displays:
    • Type over the Download as PDF text to change the text that displays in the report.
    • Use the Font Size list to change the size of the text.
    • Click Icon BI Color.png in the Font Color field to change the color of the text.
    • Change the default in the Page Size list from Portrait to Landscape to change the orientation of the report when it is downloaded as a PDF.
    • Change the default in the Java Autofit list from True to False to display the report without adjusting the width of columns so that all report data fits on the selected page size.
    • Use the Border Settings section to add a border to the PDF link.
  • Use the New PDF Link icons to edit, move, and and delete the link:
    • Click Icon Duplicate2.gif to display the Settings window and update the PDF link/border options.
    • Click Icon BI Move2.png, and then drag-and-drop the PDF link to a new location.
    • Click Icon BICloseVisual.gif to remove the PDF link.
S View tab Click to view the formatted report.
